The Department of Medical Education has an exciting opportunity for a full-time Executive Director, Medical Education to work in Miami, FL. The Executive Director, Medical Education directs daily activities of the University's medical education programs for assigned division(s) and ensures compliance with applicable rules and regulations. Additionally, the Executive Director, Medical Education establishes and implements an integrated strategic plan to further respect and notoriety for the University’s medical education programs.

  • Ensures participants’ meet all requirements for the intended program.

  • Monitors participant assignments and scheduling.

  • Gathers data and creates reports supporting the programs' accreditation.

  • Promotes cooperative efforts between training programs, healthcare entities, and systems to attract and retain health professionals.

  • Serves on various boards, councils, committees, or task forces to coordinate University activities and facilitate organizational goals.

  • Mentors, leads, supports, and evaluates department staff members.

  • Develops medically appropriate commercial strategy, planning, and execution.

  • Collaborates with other departments, faculty, and staff to create curriculum for assigned medical programs.

  • Oversees and administers department budget and expenditures.

  • Ensures internal control oversight and compliance with laws and regulations, safeguarding of assets, compliance with University policies and procedures, reliability of internal and external reporting, and efficiency and effectiveness of operations. Creates an effective control environment, conducts risk assessment, implements, and monitors controls.

MINIMUM QUALIFICATIONS

  • Masters in Business Administration or Ph.D. in a relevant field

  • Minimum 7 years of relevant experience

  • Knowledge of business and management principles.

  • Ability to direct, manage, implement, and evaluate department operations.

  • Ability to establish department goals, and objectives that support the strategic plan.

  • Ability to effectively plan, delegate and/or supervise the work of others.

  • Ability to lead, motivate, develop, and train others.

  • Demonstrated extension budget management experience.

  • Demonstrated solid planning and organizational skills.

  • Working knowledge of Microsoft Office Suite: Word, PowerPoint, Excel, Canva, Power BI.

  • Excellent verbal and written communication skills

  • Team building skills

  • Intellectual curiosity and willingness to learn

  • Strong strategic thinker with high-level analytical skills.

Department Specific Functions

The Executive Director, Medical Education serves as the administrative leader and senior management advisor to the Chair of the Department of Medical Education and Executive Dean for Education and Policy, and/or other senior leadership within the organization. The primary responsibilities of this position are to generate, manage, and interpret strategic information; provide financial management and accountability for all resources of the Department and its divisions; and provide administrative infrastructure to ensure organizational, departmental and divisional goals are achieved and faculty and staff thrive. This incumbent represents the Department of Medical Education and provides support and oversight across the academic department (DOME) and the operational divisions within medical education (UME, GME, CME, Office of Graduate Studies). Participate in all relevant meetings related to business operations and services as they relate to achieving defined targeted goals.

  • Develops, obtains approval for, and directs short and long-term strategic priorities for the Department, while actively serving as the senior financial and administrative manager.

  • Prepares business analyses, funding plans, and develops proposals; implements plans for new departmental programs; and designs and executes changes to existing programs. Ensures successful completion of these plans and programs.

  • Oversees all operational activity for the department and its divisions to include directing strategic business, programmatic, policy development and operational planning in partnership with the Chair and senior department leaders.

  • Serves as the administrative liaison for Department programs at affiliate sites and within the divisions. Ensures administrative services in the Department and its divisions are compliant with all applicable policies and procedures.

  • Assists in the recruitment of diverse faculty, with appropriate expertise to meet the educational and programmatic needs of the department.

  • Oversee administration, operations, purchasing, capital improvements and HR and fiscal functions of the Department of Medical Education, including divisions of Undergraduate Medical Education, Graduate Medical Education, Office of Graduate Studies, and Continuing Medical Education programs and services, including all dual degree programs. Manage a complex budget in excess of $50 million dollars.

  • Liaison for department leadership in dealing with various business and administrative offices of the University of Miami. Participates in relevant office meetings and makes recommendations to leadership regarding operational and administrative functions.

  • Partners with the department leadership, and other key constituents in developing strategic plans and creating policies to improve processes and achieve goals. Advises department leadership on all administrative matters and represents and acts on their behalf in the rendering of decisions.

  • Refines and develops an administrative structure for the Department of Medical Education and Executive Dean for Education and Policy staff that provides the necessary level of support services needed for the departments continued success and strategic growth

  • Provides relevant training to staff on an ongoing and as needed basis to enhance the skills of staff and effectiveness of office processes.

  • Analyzes staffing, financing, operations, policies, systems and procedures to ensure an efficient and effective operation and to adapt to internal and external change. Provides a basis for administrative decisions such as promotions, succession and strategic planning and pay for performance.

  • Fosters collegial relationships and teamwork between faculty and staff in our journey towards exceptional performance and excellent results.

  • Fosters a smoothly functioning, efficient, customer service-oriented organization through operational integration, anticipation of problems, the timely and effective resolution of unexpected issues and the establishment and maintenance of continuous improvement processes.

  • Provides oversight of all support services and serves as a liaison to the University for emergency preparedness and disaster recovery. Responsible for the management and certification of the department’s disaster recovery plan, through UReady. Has leadership role in the department's Emergency Response Team

  • Oversight of financial services providing useful, timely, and accurate information, reports, analysis, and counsel to our constituents (deans, faculty, department chairs and administrators, etc.), to ensure that all accounts, departments, centers, and support units of the School of Medicine that receive funding from Medical Education, are in compliance with University policy, fiscal management procedures and external agency regulations as appropriate.

  • Other duties as assigned by supervisor.
