Key Responsibilities
Deliver comprehensive administrative support to senior executives and management.
Oversee executives’ calendars, schedule meetings, and coordinate appointments efficiently.
Organize travel arrangements, including flights, accommodations, and transportation.
Draft, edit, and format correspondence, reports, and presentations.
Screen incoming communications and prioritize tasks for executives.
Maintain organized and accurate executive files and records.
Assist in the preparation and review of important documents and reports.
Manage confidential information with utmost professionalism.
Serve as a point of contact between executives and various internal/external stakeholders.
Handle administrative duties such as processing expense reports and monitoring budgets.
Support the planning and execution of company events and meetings.
Conduct research and compile data to aid executive decision-making.
Juggle multiple projects and tasks while prioritizing effectively.
Identify areas for process improvements to enhance operational efficiency.
Complete special projects and additional tasks as assigned.
Represent the executive office with a polished and professional demeanor.
Requirements
Bachelor’s degree or relevant experience preferred.
Bilingual in Spanish is required.
Proven experience in an executive assistant role.
Proficient in Microsoft Office Suite and other communication tools.
Strong organizational skills and ability to manage time effectively.
Exceptional attention to detail and accuracy in all tasks.
Excellent written and verbal communication abilities.
Capable of handling sensitive information with discretion.
Strong problem-solving skills with the adaptability to navigate shifting priorities.
Ability to thrive in a fast-paced work environment.
Strong interpersonal skills, with the ability to work well with senior executives and colleagues.
