We are seeking a skilled mid-level Business Analyst to join our dynamic team, focused on optimizing spend across our extensive software application portfolio. The initial focus will be on optimizing spend for Jira and Confluence within our Atlassian suite. This role will play a crucial part in assessing the usage, functionality, and cost-effectiveness of various software components across our organization through strategic analysis and effective stakeholder coordination.

Key Responsibilities:

• Develop a standardized template to document details of targeted software applications. Ensure the template captures:

• Name of the software application

• Cost of the software application

• Software application functionality (high-level and detailed).

• Identification of similar existing software applications, if applicable.

• Add-on being utilized by the software application.

• User base size and criticality assessment.

• Impact analysis if the software application were discontinued.

• Evaluate existing add-ons within our application estate to determine their viability and necessity.

• Identify opportunities to optimize software licenses by disabling inactive or redundant users.

• Investigate migration opportunities to alternative platforms for cost reduction and efficiency improvement.

• Conduct in-depth analysis of the software application with significant user bases, producing detailed reports.

• Engage in discussions with stakeholders, including executives, to understand application usage and needs confidently.

• Interview users to comprehensively understand their usage patterns and dependencies within current applications.

• Identify functionalities critical to operations that are not replicated in proposed alternative applications.

• Collaborate with the Enterprise Tools Team to gather usage metrics and frequency data where feasible.

• Generate actionable recommendations for user disabling and application space migration, prioritizing cost-efficiency, and operational optimization.

Qualifications:

• Bachelor’s degree in Business Administration, Information Technology, or a related field.

• 3 years in a Business Analyst role, preferably within a large-scale enterprise environment.

• Proven experience in application portfolio management and optimization.

• Strong analytical skills with proficiency in data gathering, analysis, and presentation.

• Ability to articulate complex information clearly and persuasively to a diverse audience.

• Proficient in interviewing and gathering requirements from various stakeholders.

• Strong capability to analyze software usage data and identify inefficiencies.

• Skilled in evaluating the business impact of software tools and add-ons.

• Comfortable engaging with high-level executives and technical teams.

• Effective in negotiating and convincing stakeholders to support recommended changes.

• Detail-oriented in documenting software functionalities and usage patterns.

• Organized in maintaining and updating software and add-on documentation.

• Focused on identifying opportunities to reduce costs without compromising functionality.

• Proactive in seeking ways to streamline software usage and eliminate redundancies.

• Project management skills to oversee initiatives related to tool optimization and process improvement.

• Collaboration skills to work effectively with cross-functional teams and business users.

• Experience in promoting teamwork and fostering a positive team environment.

• Adaptability to evolving business requirements and technological advancements in collaborative tools.
