About the Role:

An opportunity has arisen for a Executive – Human Resources to join the team of Human Resources in Jumeirah Olhahali Island.

The HR Executive will be responsible to provide comprehensive support to the Human Resources Department in executing HR activities and special projects, through effective coordination for the smooth and efficient day to day dissemination of HR information.

The key duties of Executive Human Resources will include:

Administrative:

  • Provide efficient calendar management support including scheduling appointments and preparing any necessary supporting documents for the team.

  • Streamline document archiving procedures (scanning and archiving documents) and ensure the safekeeping of all HR records, documents and files.

  • Implement a systematic approach for organizing the shared drive by logically segregating folders to facilitate information sharing and easy document retrieval.

  • Managing the EDMS project and tagging of the documents.

Operations:

  • Track and update general and administrative costs in a system on a regular basis in order to ensure accurate maintenance of cost for financial budget management and decision making.

  • Raise Purchase Requisitions (PR) in the Tahweel system and actively seek out necessary approvals within the established Service Level Agreement (SLA) timeframe to expedite procurement processes and minimize delays in acquiring necessary resources for timely acquisition of required materials and services.

  • Review HRMS (Tahweel) system for missing or expired data and take corrective actions to maintain data integrity ensuring accuracy and reliability of information within the HR system for accurate reporting and effective HR decision-making.

  • Calculate and track monthly employee accrual balances for various leave types (e.g., vacation days, sick leave) with precision to ensure proper leave tracking and facilitate informed decision-making regarding employee leave requests.

  • Maintain accurate accrual records for all employees to ensure compliance and systematic approach to address queries.

Others:

  • Generate reports and dashboards with relevant metrics and insights as needed to support various HR initiatives and decision-making activities for optimizing HR function generate reports.

  • Foster a culture of continuous learning and adaptability within the HR department, for you to contribute effectively in diverse situations.

  • Contribute to the collection, analysis, and reporting of employee engagement data.

  • Assist in generating reports and presentations summarizing employee engagement metrics and program effectiveness to keep stakeholders informed.

  • Support in implementation of employee rewards and recognition initiative and administer the system for tracking and report generation and ensure seamless coordination of program activities.

About you:

The ideal candidate for this position will have the following experience and qualifications:

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and HRMS system

  • Proficient in Data entry, Recordkeeping and File management

  • Excellent communication, interpersonal, and collaboration skills with the ability to build relationships with employees at all levels.

  • Data Management - Data collection, Data organization, Data cleaning, HRMS proficiency

  • Data Analysis & Reporting - HR data analysis, Trend identification, Report generation, Dashboard creation, Data visualization tools (e.g., pivot tables)

  • Excellent Written & verbal communication,

  • Strong analytical skills with the ability to interpret data and contribute to reporting efforts.

  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.

  • Demonstrated ability to work independently and as part of a team.

  • Attention to details.

  • Ability to work in fast-paced environment with multiple deadlines.

  • Strong team orientation, exceptional work ethics

  • Creativity (use of CANVA for poster design, announcement, etc).
