Shell Project Coordinator (SAP PM / GSAP) in Makati City, Philippines

Technical Asset Operations (TAO) team aims to develop central, competitive capabilities delivering end-to-end value through the AMS work processes as an integral part of our Downstream Manufacturing (DS-M), Integrated Gas & New Energies (IGNE) and Upstream (UP) asset teams. We support the business worldwide and often do so together with the deep capability of our Project & Technology (P&T), Information Technology (IT) and Finance & Data Operations (FO-Data) partners. You are going to play a vital role in the delivery of continued efficiency and effectiveness improvement by bringing cross-business learning on key processes.

What we need from you

  • Responsible for Project Creation in GSAP and submission of Approved Funds loaded for release by Central Finance Team.

  • Responsible for Capital Project Networks, Work Orders and WBS Settlement Report Error Corrections.

  • Quarterly ASSET Under Construction (AUC) monitoring Control C5.3.c.2 for USD8 Chemicals and US16 Products (Refinery).

  • Pre-populate AUC Monitoring Report each quarter and request feedback from all Project Managers assigned to Projects in the list. Update all GSAP Balances for each project line item. Update Asset Creation date per the Schedule and Project Manager update (When asset will be brought into service for use).

  • Compile all changes prior to submission of the Quarterly AUC Monitoring Control C5.3.c.2 report.

  • Responsible for Project Closeout for every project

  • Asset Creation in GSAP at Ready for Start Up (RFSU) date.

  • Asset Retirement in GSAP at Ready for Start Up (RFSU) date.

  • Close Networks and Work Orders on Projects in closeout phase.

  • Prepare and Route Project Final Closeout form for Signatures.

  • Monitor and Track all Projects in Operate Phase for timely Closeout per Project Guideline of 180 days after RFSU.

  • Time Writing Coordination – Send out email reminders, monitor time reported weekly/monthly, review to ensure all have report time to correct projects and correct phase/network number.

  • Correct all time writing issues so business transfers are not impacted for projects.

  • Upload into Track (Shell) Time charges, allocate & approve in track.

  • Prepare MJE for Contractor time charges and submit to Cost Team Lead for approval and submission.

Key Experiences and Qualifications:

  • Preferably an Engineering Degree Holder with at least 3 years of project controls / project coordination experience from oil and gas or related industries

  • Preferably someone with an exposure in using current windows operating system, SAP PM, GSAP, or Ecosys

  • Extensive experience with project benchmarking metrics & IPA.

  • Thorough understanding of project cost controls, financial guidelines, and capital project process.

  • Preferably someone with good communication skills and can communicate effectively with superiors, colleagues, customers, and all other staff as necessary.

  • Working knowledge of broad range of project controls systems, tools, and practices/guidelines in oil & gas industry is an advantage.

  • Thorough understanding of project delivery process and project cost control phase requirements

  • Deep understanding of all guidelines related to tracking work hours by job, and reporting hours to department work log.

  • Leadership capability, analytical thinking, and presentation skills.
