Hiebing is seeking a Billing & A/P Specialist to support the Accounting & Finance team. This position will assist in accounting and administrative responsibilities. This is a fantastic opportunity to join our fast-paced agency and experience firsthand the “We Before Me” team environment!

Responsibilities

  • Provides timely and accurate entry of:

  • Monthly client billing

  • Purchase orders

  • Intern & Freelancer timesheets

  • Accounts Payables

  • Corporate credit card charges

  • Employee expense reports

  • Postage & color printer logs

  • Vendor W-9s and vendor records

  • Prepares monthly sales & use tax returns

  • Tracks and reconciles petty cash

  • Accumulates, documents, prepares and files vendor 1099 information

  • Runs, reviews and interprets reports as requested

  • Assists employees, vendors, clients or customers in answering questions related to accounts, procedures and services

  • Prepares and sends copies of receipts for clients that request copies

  • Open agency numbers and track job numbers to be sure sales class, job type and sales tax are marked appropriately

  • Monitors and resolves problems with over-payment, duplicate payments and delinquent payments

  • Completes and maintains credit applications

  • Maintenance of accounts payable files

  • Maintains files and documentation in accordance with company policy and accepted accounting practices

  • All other duties as assigned

Qualifications

  • Associates or bachelor degree, with an emphasis in Accounting, preferred

  • At least 2 years of professional experience with general accounting. In the absence of a degree, at least 4 years of professional experience required

  • Intermediate spreadsheet skills

  • Ability to manage data entry with timeliness, decisiveness, and attention to details while prioritizing competing demands

  • Ability to handle multiple priorities/tasks and consistently meet deadlines

  • Works well under pressure and in a fast-paced environment

  • An ability to effectively communicate verbally and in writing across functional areas

  • This position is a hybrid position. You must be able to be on-site Monday, Tuesday & Wednesday weekly, with Thursday and Friday being optional work on-site or work from home days

  • Ability to work in the United States now and in the future without requiring sponsorship
