University of Louisville Unit Specialist II - Cardiology in Louisville, Kentucky

Minimum Requirements:Bachelor's degree in a related field and two (2) years of relevant experience or an equivalent combination of education and experience.Position Description:The Unit Specialist II provides administrative support to the Chief of the Division of Cardiovascular Medicine and coordinates division operations. There is a strong emphasis on managing the recruitment and onboarding processes for new faculty from start to finish, planning division events, coordinating clinical schedules, and managing purchases to stay within division budgets. Building and maintaining relationships with clinical partners is essential to this role because of the location of the academic office and the nature of the work faculty do. Duties and Responsibilities Serve as assistant to the division chief, which includes managing the chief’s schedule, ProCard proxy, and undertaking a variety of projects as assigned.Build, update, and disseminate all clinical schedules for division faculty and fellows within the UL Health system and the VA.Coordinate travel arrangements, reimbursements, and other related tasks for faculty travel, visiting lectureships, visiting scholars, and recruitments.Assist the chief with putting together visiting grand rounds and other lectures/conferences.Coordinate with Finance Manager to manage division purchases including holding division ProCard and monitoring expenses on frequently used speedtypes to ensure the division stays under budget.Coordinate with Chair’s Office staff on faculty hiring/onboarding, promotion and tenure review, reappointments, gratis appointments, and credentialing for current and incoming providers.Work with International Center, University and ULP legal counsel, and employee to obtain/renew visas for foreign national employees.Collaborate with UL Health and VA employees on provider recruitment, requesting privileges for various activities depending on the individual need, expense reimbursements, IT/systems/maintenance needs, and other projects as they occur.Plan and execute events for the division.Assist division chief with volunteer research program.Serve as backup to the fellowship coordinator for fellowship-related administrative tasks.Track faculty vacation/sick time balances.Serve as primary point of contact for the division.Other duties as assigned.Preferred QualificationsExperience in an executive office environment.Experience with building/maintaining clinical schedules.Knowledge of Microsoft Suite programs and Adobe Acrobat. Familiarity with both inpatient and/or outpatient clinical settings is helpful.
