The Environmental Studies Program (ENST) is seeking an Administrative Assistant at the ENST office on the University Park Campus (UPC) in Los Angeles. Position is eligible for USC benefits and is open until filled.

Under the supervision of Jill Sohm (Director of the ENST Program), the Administrative Assistant is responsible for various administrative and general office duties for the ENST Program.

Responsibilities:

  • Coordination of academic program needs like curriculum submissions, course scheduling, classroom scheduling and registration information

  • Onboarding and management of student workers, including payroll setup

  • Coordination of faculty promotion, appointment and hiring documents

  • Oversee budgets for program

  • Manage ENST office functions (e.g. maintenance requests)

  • Commencement planning and execution

  • Answer inquiries by phone and email and field to the appropriate party

  • Purchase supplies and materials for departmental needs according to USC Procurement policy

  • Invoice preparation and submission, with occasional vendor correspondence to ensure accounts and payments are current

  • Mailing & receiving

    Preferred Qualifications:

  • Bachelor’s degree or combined experience/education as substitute for minimum education

  • A minimum of 3 years experience in a business or office setting

  • Provides a professional image at all times through appearance and dress

  • Able to work well independently with little supervision

  • Strong attention to detail to ensure office operations run smoothly

  • Excellent organization and communication skills

  • Ability to learn and follow all USC policies around financial and operating procedures

    Hours: Full time M-F 8:30am-5:00pm. Some weekend hours may be required.

    Work location: University Park Campus (CAS 200), Los Angeles, CA.

    Hourly range: The hourly rate range for this position is $24.62 - $27.59.
