Job Title: Accounting SpecialistJob Description

The Accounting Specialist will be responsible for establishing payment terms and collecting payment against those terms according to established standards. Reporting to the Accounting Manager, the Accounting Specialist will follow the collection procedures established by the organization and assist with billing and payables as needed.

Responsibilities

  • Make collection calls and/or send correspondence to solicit payment on overdue accounts.

  • Provide customer service updates regarding collection issues, process account adjustments, and resolve account discrepancies.

  • Process customer credit applications to determine creditworthiness.

  • Monitor and maintain all customer accounts, including making customer calls, performing account adjustments, and managing small balance write-offs.

  • Reconcile customer accounts and process credit customers in a timely manner.

  • Reduce delinquency for assigned accounts and maintain records of all delinquent accounts, bankruptcies, and credit risks.

  • Prepare and file collections paperwork on approved accounts.

  • Coordinate with sales, program management, and senior management to accelerate the collection process.

  • Communicate and follow up effectively with sales and customer service departments regarding customer accounts.

  • Establish and maintain effective and cooperative working relationships with colleagues and customers.

  • Perform other tasks and duties necessary to support the Accounting Department, including training as an Accounts Payable back-up.

  • Manage customers on the On Hold, COD, and Cash Advance List.

  • Reconcile customer disputes as they pertain to payment of outstanding balances and cash receipt postings.

Essential Skills

  • Knowledge of Billing and Collections procedures.

  • Accounts Receivable/Collections knowledge and experience.

  • Strong attention to detail and goal-oriented.

  • Commitment to excellent customer service.

  • Excellent written and verbal communication abilities.

  • Ability to prioritize and manage multiple responsibilities.

Additional Skills & Qualifications

  • A high school diploma or associate degree in accounting or related field is preferred.

  • 3-5 years of accounting experience, with emphasis on AR/Collections and payables.

  • Experience with full cycle AR - collections calls, credit applications, and some exposure to AP.

  • Experience with ERP systems (AS400 preferred).

  • Proficiency in Excel, including pivot tables and lookups.

  • Minimum 2 years of relevant experience.

  • ITAR compliant.

Work Environment

The role is fully onsite with a 9/80 schedule, meaning every other Friday is off. The Accounting Specialist will be the sole person responsible for AR and will report directly to the Accounting Manager. The team handles around 200 customer accounts. The ideal candidate should be patient and flexible to fit into the company culture.
