The Role
We are seeking an Administrative Assistant to support the Post Production team based in London. We are looking for an experienced Assistant to support our team by handling a heavy volume of organisational work over an 18 month period.
The successful candidate will be a proactive, quick-thinking, flexible and enthusiastic individual, who is able to juggle multiple and diverse responsibilities with unwavering attention to detail at all times. We're looking for someone who can not only be great in their day-to-day work but can identify opportunities to make the overall team more organised and efficient. Someone who is curious, demonstrates significant initiative and inherently exercises good judgement. This is a team that is often spread across several countries and time zones, so a high level of organisation is a must.

Duties and Responsibilities (But not limited to:)
Maintain calendars for executives, including booking and confirming meetings internally & externally across time zones.
Organise external and internal meetings and coordinate travel arrangements (domestic and international)
Processing travel and expense reports.
Attend key meetings, compile meeting notes and track participant actions.
Build internal and external relationships and maintain a timely stream of communication regarding projects, developments and sensitive information.
Support the team across different logistic and organisational challenges when needed, including with team projects.
Update, and champion the use of our internal systems to assist in tracking and managing, status, deadlines, and milestones for team projects.
Keeping track of relevant dates, events, and deadlines for the Post Production Manager and the team.
Support leaders with ad hoc projects such as organising and supporting events, and preparing presentations using Google Slides, and team documents.
Be the team “master of tools” for both internal and external systems, working on improvements and new efficiency opportunities to benefit the team’s productivity
Requirements
At least 2 years of experience as an assistant, ideally in a production environment
Knowledge or passion for film is a must
A working knowledge of post production is a bonus
Strong written and verbal communication skills in English
Proficiency in Google Mail and apps would be preferred, tech-savvy is a must
Ability to adapt work approach across diverse cultures and time zones & also work collaboratively with other admins across multiple departments
A true team player who is creative in helping the team beyond core tasks
The ability to be discrete and maintain confidential information is crucial
Understanding of how to prioritise but also having the flexibility to handle rapid and frequent change while always aspiring excellence
Willingness to continue learning to ensure understanding of the production team processes
Naturally well-organised and proactive with a knack for finding inefficiencies and a strong will to fix them
