Role Purpose

This role offers operational flexibility, supporting both the Administration and Tenancy Progression teams as needed. The Tenancy Progressor manages transactions from offer acceptance to move-in, playing a crucial role in assisting fee earners with tenancy processing (Lettings) and invoice raising (Sales & Lettings).

Key Responsibilities

  • All emails and phone calls acknowledged in the same day

  • Provide exceptional customer service and industry knowledge (be ARLA qualified and up to date with changes in legislation)

  • Land Registry checks

  • Submitting AML for landlord

  • Update Landlord details on Reapit

  • Conflict of interest searches

  • Search for/order and upload EPC’s

  • Order photos and upload to Reapit

  • Market property on CBRE website and all portals

  • Update/Maintain Admin Checklist

  • Upload deal onto Goodlord/draft agreement manually

  • Set accounts alterations

  • Create associated paperwork

  • Book check in inventory

  • Save check-in report to tenancy file

  • Add check-in invoice to works order for payment

  • Send Tenancy Agreement, Check-in inventory and TDS certificate to all relevant parties

  • Close down file on Reapit

  • Create/update project and project spreadsheet

  • Draft/ send invoices - let form to Accounts

  • Set up new suppliers

  • Supplier invoices – send to Finance, code and submit for approval

  • Tracking team holiday and absences

Person Specification/Requirements

  • Maintains a positive attitude towards routine tasks

  • Accurate and exceptional attention to detail

  • Pro-active and enjoys working autonomously and as part of a wider team

  • Proficient in using Microsoft Office (Word, Excel, Outlook)

  • Flexible approach to work

  • Excellent communication skills, both verbally and in writing

  • Team player with good interpersonal skills and ability to quickly form professional relationships with colleagues and clients at all levels of seniority

  • Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met

  • Ability to work well in a pressured office environment and with a team

  • Understands and appreciates the importance of using discretion
