Overview The National Center for Accessible Digital Educational Materials and Instruction (NCADEMI) is seeking a Program Assistant II to coordinate the NCADEMI project and other TAESE/IDRPP projects as assigned under the guidance of the Director. NCADEMI's mission is to ensure that individuals with disabilities, from preschool to transitioning from high school, receive accessible digital educational materials that they can effectively use. NCADEMI is housed in the USU Institute for Disability Research, Policy and Practice (IDRPP).

Responsibilities Coordinate the NCADEMI Project (50%)

  • Provide administrative support to the NCADEMI Director.
  • Promote project management communication with the NCADEMI team.
  • Maintain a tracking system for NCADEMI projects and technical assistance activities.
  • Maintain shared project files in Box and assist in organization and storage of NCADEMI project materials and resources.
  • Assist the Director with reporting requirements for NCADEMI, including data entry for the National Information and Reporting System (NIRS).
  • Collaborate and take direction from the NCADEMI Director and the IDRPP Business Manager.
  • Collaborate with IDRPP and USU accounting staff and keep current on USU accounting policies and procedures.
  • Maintain current knowledge of USU Purchasing and Accounts Payable Systems to maintain a positive workflow.
  • Assist in developing the NCADEMI budget including the original budget contract modifications and amendments.
  • Reconcile controllers accounting reports for NCADEMI.
  • Supervise purchases and expenses based on contract/agreement obligations.
  • Obtain Directors signature on accounting documents for payment upon getting necessary approvals.
  • Create, prepare, post, and monitor accounting documents/records/invoices.
  • Participate in any fiscal monitoring required by the NCADEMI cooperative agreement.
  • Create, monitor, and update NCADEMI databases.
  • Coordinate in person NCADEMI events, including logistic arrangements, attendee registration.
  • Host Zoom and send invites to NCADEMI National Advisory Council (NAC) members.
  • Produce and share minutes of NAC meetings.
  • Enter, update, and retrieve data from databases and websites.
  • Process documents, data, forms, records, and account information.
  • Process travel for NCADEMI staff according to USU, NCADEMI, and federal policies.
