JOB SUMMARY

Provides organization, administration, education related to Continuing education within the teaching environment. Position will work directly with CME director for CME related duties and accountable to the CME Committee for and development of continuing medical education programs and activities. Serves as the educational specialist and communication center for all medical student programs at SMMH. Working directly with the Medical Schools, University Deans, and the clinical departments at SMMH. Coordinates student schedules and assignments for clerkships, electives and other hospital based coursework. Publishes the medical students’ schedules and assignments for all areas involved in the medical student programs. Provides authoritative information to faculty, students and medical schools on SMMH medical policies and procedures. Develop and maintains an up to date collection of texts, periodicals, and audio-visual material as identified by medical staff and GME administration. Provide administrative support to GME director and DIO for GME related duties Medical Staff Library related duties.

Continuing Medical Education Related Duties

  • Measures educational gaps in departments in order to find qualified activity speakers for recurring and special activities.

  • Measures competency at the end of an activity in order to see if objectives, needs assessment and desired results of the activity were met.

  • Works with activity directors to plan and implements effective CME activities including incorporation of use of advanced electronic learning tools

  • Prepare and review CME applications for approval in accordance with ACCME Standards

  • Monitors, documents and ensures that all educational activities are developed in full compliance with our ACCME guidelines and regulations.

  • Work with marketing and promotion of activities to attract the intended audience. Review activity flyers and brochures in the production stage, coordinate special brochure and web based communications. Work with the Marketing/Public Relations Department to promote upcoming activities.

  • Apply for educational grant income to offset expenses of CME activities. Develop positive relationships with commercial support representatives to secure educational grants in accordance with ACCME Standards for Commercial Support. Approves letter of agreements for each unrestricted grant.

  • Coordinate logistics for SMMH special conferences and off-site sponsored activities. May include scheduling, food order, room set up, hotel arrangements for speakers, other logistics. Provide for registration of activity participants. Supervise other staff as needed.

  • Collect and document registration from CME activity files and formulate a budget for each activity.

  • Maintain authoritative knowledge of ACCME standards and requirements while implementing these standards and requirements at all

  • SMMH CME activities.

  • Assist the Trinity CME office with accreditation activities involving the CME program, such as ACCME site visits, mission statement and self-study documentation.

  • Assist with CME program budget and finance issues under the direction of the Director, Medical Education.

  • Coordinates and facilitates all CME committee meetings, including preparing agenda, necessary back-up material, minutes, CME treasury report and the six month CME speaker schedule.

  • Maintains and reconciles the CME checkbook. Prepares and presents the financials and budget to the CME Committee.

  • Maintains the computerized records of attendance/CME credits by the state and national accrediting body.

  • Monitors and maintains all CME minutes and correspondence. Maintains and updates committee files for compliance with JCAHO standards.

  • Provide ongoing opportunity for specific meetings throughout the year for commercial sponsors to schedule physician lounge displays and other various events.

  • Maintain continuous subscriptions to approved current medical journals.

  • Order and process new books for all departments in the hospital and maintain records.

  • Report to the CME committee on the Medical Library

  • Collaborate with SJMHS staff on use of additional library resources in health system

Medical Student Education Duties

  • Delegates out required medical student documentation and evaluations.

  • Manage verification and approval through formal medical staff processes for any rotating medical student.

  • Provides for check-in and orientation of medical students to SMMH, including name badges, confidentiality agreements, policies and procedures, and facility orientation. Provides the curriculum for medical student manuals for each specific department. Orients the students on each service, provides them a schedule, and reviews evaluation areas with the students.

  • Sets up PCIS orientation, OR orientation, and other necessary training before student begin their rotation.

  • Coordinates and supports student lectures along with providing evaluations on lectures and providing an evaluation database. Creates PowerPoint presentations for medical student lectures and case presentations.

  • Formulates medical student evaluations in New Innovations, sends them to the correct attending and residents, maintains a record of medical student midterm and final evaluations within the last 5 years.

  • Serves as proctor for standardized medical school examinations held at SMMH

  • Works with the faculty and administration of the medical schools and SMMH medical education programs to develop and maintain the student curriculum, with emphasis on fourth year elective coursework at SMMH

  • Provides counsel to medical students on procedures, policies, problems, or other general issues affecting their experience at SMMH

  • Attends recruitment fairs with program directors and coordinators in the medical student rotation process. Works with the chief academic affairs officer in preparing and planning medical student affiliation agreements with accredited universities.

  • Attends monthly medical student meetings with affiliated universities.

  • Assist Graduate Medical Education Director with medical education job duties, such as new resident orientation, faculty contracts, and similar activities that occur during peak work periods during the academic year.

JOB QUALIFICATIONS

Education

  • Bachelor’s Degree or equivalent experience in medical education or other appropriate field required.

Training and Experience

  • At least 1 year of experience in a medical education environment at a teaching hospital required.

  • Ability to move about the office and hospital to obtain documentation necessary to the completion of the billing function.

  • Ability to reach and stretch to retrieve information when necessary.
