Northrop Grumman Mission Systems (NGMS) is seeking an Administrative Assistant 5 to support the Vice President of Program Management and their staff in the Airborne Surveillance Business Unit (BU) This position will also provide additional support to the broader BU in Baltimore, MD . This is an exciting, dynamic environment at the cutting edge of business in the high technology defense industry. The individual in this role will get to work in a challenging, internal and customer-facing role that also has a lot of delegated authority/responsibility while working directly for a business Vice President and their team. This is an onsite position.

Roles and responsibilities of the Administrative Assistant 5 will include (but not be limited to) the following:

  • Provide administrative support to the VP Airborne Surveillance.

  • Manage Vice President’s calendar. Prioritize and schedule meetings, handle quick turn requests, monitor and act upon upcoming needs, and resolve frequent schedule conflicts.

  • Make domestic and international business travel arrangements, process documentation as required and process expense reports in a timely manner.

  • Follow-up on actions on behalf of the VP and perform other tasks as directed by the VP.

  • Handle confidential business matters and maintain effective and efficient organization of administrative requirements.

  • Attend & coordinate staff meetings and follow up on action items.

  • Coordinate business meetings, both internal as well as for Customers and VIPs, including conference room reservations, set up and catering.

  • Arrange visitor badging and receive visitors including customers and other contractors.

  • Handle information requests.

  • Answer telephones, screen calls and forward messages.

  • Provide administrative support for programs that report to the VP as needed.

  • Use Microsoft Office to prepare correspondence, produce high quality reports, presentations, or other documents.

Basic Qualifications:

  • High School Diploma with a minimum of 8+ years additional education and/or professional relevant experience.

  • Computer skills required include advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook and Excel).

  • Ability to coordinate Outlook calendar, Microsoft Teams meetings and shared link applications.

  • Prior experience coordinating both on and off-site meetings and/or events.

  • US Citizenship required.

Preferred Qualifications:

  • SharePoint (or equivalent), and intranet/internet proficiency.

  • Ability to compile and generate reports and presentations.

  • Ability to complete a wide variety of tasks with minimal supervision.

  • Experience proofreading and correcting documents for grammatical errors.

  • Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities.

  • Highly developed verbal and written communication skills and proven success in organizing, prioritizing, and completing assigned responsibilities.

  • Ability to interface with executive level internal and external contacts with considerable autonomy.

  • Bachelor’s or Associate degree, preferably in business or technical related field.

  • Familiarity with SAP, Concur, ITRIP, Facilities requests, IBUY, etc.

Salary Range: $71,400 - $119,000

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
