We are currently seeking talented individuals for our Service Clerk position!

Here is some of what you’ll do…

POSITION SUMMARY: Under the direction of the Service Supervisor, the Service Clerk is a motivated self-starter and is responsible for ensuring that the highest level of customer service is provided to Hawthorne’s clients. The Service Clerk supports the Service Department by completing various clerical tasks requested by the Service Supervisor. The Service Clerk requires the ability to multi-task at a high level.

Responsibilities

ESSENTIAL FUNCTIONS:

  • Opens and closes work orders for multiple departments and locations, including but not limited to Main Shop, Field Service, and Rental Branches.

  • Is responsible for Work in Progress (WIP) pertaining to assigned store.

  • Maintains Last Date of Labor as per department requirements.

  • Verifies and edits service reports for uploading.

  • Reviews work orders for proper labor hours and parts.

  • Performs clerical tasks including filing, scanning, answering multiple telephone lines, and dealing with internal and external customers.

  • Verifies service reports have detailed repair reports, corrects SIMS, hours, and places any outside vendor forms or Caterpillar required documents in the master file.

  • Distributes, tracks, posts, vouchers and files all purchase orders for department

  • Prepares for meetings by ordering lunch, taking minutes, and distributing completed minutes.

  • Orders and maintains office supplies for the Service Department. Completes check request forms for checks. Completes and reviews expense reports and any other clerical work as needed.

  • Is responsible for checking that time is encoded correctly for work orders and for payroll purposes.

  • Maintains spreadsheets as required for the Service Department.

  • Performs other duties as assigned by the Service Supervisor.

Qualifications

EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:

  • Must have a high school diploma or equivalent.

  • Must have a valid Drivers License with a good driving record.

  • Must have PC skills.

  • Must have the ability to communicate clearly, both orally and in writing.

    PHYSICAL DEMANDS:

  • Walking: Moves about on foot, often up and down stairs.

  • Handling: Seizes, helps, or works with hands.

  • Lifting: Raises or lowers miscellaneous paperwork.

  • Reaching: Extends hands and arms in any direction.

  • Stooping: Bends body downward and forward by bending at knees or waist.

  • Standing: Remains in standing position if required to perform various functions of the job.

  • Vision: Reads computer and paperwork.

  • Talking: Communicates by radio, phone, and in person.

  • Sitting: Sits at desk for extended periods.

    ENVIRONMENTAL:

  • Noise: Works in conditions with constant or intermittent noise.

  • Temp/Weather: Works in an office environment.
