Central Maine Medical Center Administrative Assistant - Healthy Androscoggin in Lewiston, Maine

Position Summary:Performs administrative duties to a team and/or department with moderate direction. Responsible for supporting communications, calendars, meeting minutes and department records. Organizes and may coordinate projects. Has basic word processing word, spreadsheet, and graphic software skills.Essential Duties:• May greets visitors/team members.• Answers phones and routes calls to appropriate team members.• May support and update records/files complying with regulations.• May schedule, coordinate, prepare, and attend monthly/quarterly meetings.• May support, organize, and administer department projects.• May type, transcribe, proofread, and compose correspondence, reports, etc. from notes, drafts or dictation.• Maintains departmental records, files, and procedure manuals.• Files and retrieves corporate records, documents, and reports.• Attentive to the value of staying under budget while planning event specifications. Performs job duties in a manner that maximizes expense control.• Opens, reviews, and distributes incoming mail.• May perform office duties that include ordering supplies and managing a records database. Trouble shoot minor problems with office equipment.• Process expense reimbursements and invoices.• Supports the time and attendance procedures.• Complies with all organizational policies and practices.• May lead the coordination of educational and/or certification programs.• Maintains confidentiality.• Performs job duties in a manner that maximizes expense controls.• Performs other duties as assigned.Education and Experience:• High School Diploma• One year or more experience as an office assistant or other relevant administrative support experience• Basic computer knowledge with some understanding of MS Office suiteKnowledge, Skills, and Abilities:• Self-Directed• Professional level verbal and written communication skills• Ability to organize a daily workload by priorities• Must be able to meet deadlines in a fast-paced quickly changing environment• A proactive approach to problem-solvingTypical Working Conditions and Physical Requirements:• Ability to use computers and other technical systems required to perform job functions• Perform repetitive hand and arm motions• Stand, walk, or sit for extended periods of time• Bend and lift products weighing up to 15 pounds occasionally

Additional information about the Administrative Assistant position at Healthy Androscoggin (HA):

  • Provides administrative support to various projects/programs associated with grant funding related to tobacco cessation, substance misuse prevention, healthy eating, childhood lead poisoning prevention, supporting physically active communities and cultural competency.

  • Works with Executive Director to support Advisory Committee activities including taking minutes at meetings, assembling/distributing Committee meeting packages/information, maintaining records/documentation, and general communication.

  • Works closely with HA Grant Coordinator to make sure all aspects of our joint financial processing activities (i.e. check and travel requests, supply/equipment orders, donations. received, etc.) are accurate, timely and completed in accordance with current standards and procedures. This allows the Grant Coordinator to provide timely and accurate reporting to HA/CMH management, grant funders and vendors.

  • Develops/maintains/oversees HA ordering/receiving process/procedures for supplies and equipment and is point person for interaction with CMH purchasing and other vendors on ordering.

  • Provides data entry for HA staff hours into Grant Writer Time Tracker, CMH’s payroll management system.

  • Works with Team Members and Committee to plan, coordinate and oversee various meetings and events such as the HA Annual Meeting, Coalition Awards Presentation, Staff Retreat, Community forums.

  • Works closely with HA team, managers and CMH PR/Marketing Department to support marketing and fundraising activities.

  • Maintains office equipment including computers, scanners, copier, and projectors and is point person for interactions with CMH IT and contracted vendors for technology installation and/or service. Maintains office technology inventory documentation.

  • Provides editing and proofreading for grant applications and various program documentation.

  • Oversees office volunteers for administrative projects and tasks.

  • Maintains communications with landlord for office space.

  • Coordinates facilities upkeep with subcontractors.

  • Coordinates interaction with CMH Safety Department and provides upkeep of HA safety protocols and procedures
