WSP USA Executive Assistant in Laval, Quebec

The opportunity

WSP is seeking an Executive Assistant for our Senior VP, Bridges, Highways & Roads.

The selected candidate will be responsible for providing a high level of support while adhering to company-wide best practices to meet internal and external demands. The Executive Assistant will develop and maintain excellent relationships with all employees, customers, and other stakeholders, and embody WSP’s values and guiding principles.

The selected candidate will have strong planning and organizational skills, as well as solid oral and written communication skills in both English and French.

The candidate will be based in one of the following WSP offices: Montreal, Laval, Brossard, Ottawa or Gatineau.

What you can expect to do here:

  • Coordinate and manage the schedule for internal and external meetings and conference calls, including room set-up, meal orders, audiovisual aspects, etc.

  • Organize and coordinate senior management and face-to-face meetings

  • Make travel and accommodation reservations with the company’s travel agency.

  • Organize and submit personal and corporate credit card expenses, and approve timesheets and expenses

  • Coordinate national communications and disseminate them accordingly

  • Draft minutes of meetings and distribute them accordingly

  • Organize social events as needed

  • Prepare and write reports

  • Coordinate and support various WSP Canada corporate initiatives (employee training, performance appraisals, etc.)

  • As an integral part of the management team, you will need to develop an understanding of the business and the team’s operations in order to provide appropriate assistance

  • Occasional trips around the province and the country

  • Occasionally perform evening or weekend duties as required

What you’ll bring to WSP:

  • Post-secondary degree in business administration or related discipline is an asset

  • Over 10 years’ professional experience in a corporate environment and in an organization of similar size (over 5,000 employees)

  • At least five years’ experience as a corporate executive assistant

  • Demonstrate proven skills and competencies in the use of the Microsoft Office suite, particularly Excel

  • Knowledge of SharePoint and ERP software is an asset

  • Ability to multi-task and meet deadlines

  • Consistently accurate, high-calibre work and attention to detail in a fast-paced environment

  • Attention to detail with good visual presentation skills

  • Strong organizational skills and ability to work with minimal supervision

  • Exercise judgment and discretion when handling confidential and sensitive data and situations

  • Demonstrate autonomy and initiative

  • Fluency in English and French is essential (spoken and written)

  • Occasionally available to work overtime
