Job Title: Facilities Coordinator Location:Latrobe, PA

This role is responsible for general administrative activities within the Facilities team. The scope of responsibilities are primarily focused on campus operations in Latrobe, PA and office operations in Pittsburgh, PA as well as enterprise support for Facility activities such as real estate and corporate risk management, global initiatives, archival storage, etc. This role reports to the Global Facilities Manager and directly supports the local Facility Maintenance and interacts with Security, Kitchen Services and EHS teams. This role is a liaison with internal production/pilot/R&D operations, office personnel, internal Finance and provider of building services.

Key Responsibilities: Receive and administer communications (email, phone calls, texts) from/to internal customers and outside goods/services providers. Enter requests for maintenance and repair services in the Computerized Maintenance Management System (CCMS) for mechanical, electrical infrastructure equipment and process operations equipment and issue work orders to internal staff and external vendors. Maintain database records for normal service and repair, preventive maintenance and contract services. Compile reports of resource allocation, costs and trends to management. Prioritize and assign work assignments as determined by the Global Facilities Manager. Monitor work order progress and escalate as appropriate to ensure completion within defined Service Level Agreements (SLAs). Coordinate on-site special events in support of internal groups. Provide support for dock services including pick-up, drop-off, preparation of postage/labels for mail/UPS/FedEx, courier services, etc. Provide assistance to plant locations for record storage and supplies. Maintain the facilities departments intranet websites with current and accurate content. Manage department files and records, including purchase requisitions, purchase orders, maintenance records, work schedules and written communications. Reconcile vendor invoices for services/products received and coordinate reporting of open invoices with the Finance partner. Manage records to allocate vendor/contractor costs to appropriate cost centers. Review invoices for purchase orders issued for Facility/EHS/Security services for accurate billing. Responsible for confidential management of sensitive information. Support internal requests for facility management, operations and financial audits. The position will be based in Latrobe, Pennsylvania USA. Travel is generally not expected for this role but may be occasionally required for training, etc.

Education, Certifications, and Skills: Minimum high school diploma Experience in facilities / property management or a related field. Knowledge/familiarity with facilities maintenance activities. Strong written and oral collaboration/communication skills with demonstrated ability to interact at all levels of the organization. Proficiency in SAP business systems, preferably in Production Module. Strong software competency, including Microsoft Office product and Teams with demonstrated ability to learn other business software. General knowledge of contracts, real estate / commercial leases, telecommunications, furniture, accounting and building systems. Skilled in Root Cause Analysis.
