Robert Half Executive Assistant in Las Vegas, Nevada

Description

We are offering a contract employment opportunity for an Executive Assistant in Las Vegas. This position involves a variety of tasks including office management, executive support, meeting coordination, and light HR admin support in the industry.

Responsibilities

• Oversee the smooth running of the office operations and handle all office needs such as supplies, vendors, maintenance, and facility issues.

• Serve as a point of contact for building management, cleaning staff, and other service providers.

• Handle receptionist responsibilities including greeting guests, answering incoming calls, and managing mail and shipments.

• Provide support to the executive team such as scheduling, logistics, and other on-the-ground needs.

• Organize and manage executive travel arrangements including flights, hotels, transportation, and itinerary coordination.

• Handle the coordination of board and executive meetings including room bookings, catering, A/V setup, and visitor logistics.

• Manage complex calendars for key executives, coordinate high-priority meetings, and avoid scheduling conflicts.

• Ensure executives have clear, well-organized travel itineraries and handle last-minute travel changes.

• Prepare for meetings and events by organizing agendas, preparing materials, and coordinating follow-ups.

• Coordinate broker awards submissions, track internal awards for employee recognition programs, and handle contest coordination with executives.

• Assist with onboarding new hires, screen incoming resumes, schedule candidate interviews, and handle office-related HR compliance.

• Plan and execute company events, manage employee perks and office experience initiatives, and take on special administrative projects that support company-wide efficiency.

• Foster connection between executives and employees by serving as a liaison.

Requirements

• Proven experience with ADP - Financial Services is a plus

• Proficiency in using Cisco Webex Meetings for scheduling and managing online meetings

• Familiarity with Concur for handling expense reports

• Experience with CRM systems for managing customer relationships

• Must have knowledge of Kronos Timekeeping System for tracking employee time and attendance

• Ability to use About Time for project management

• Excellent calendar management skills to coordinate executive schedules

• Strong communication skills, both written and verbal

• Experience in organizing and managing conference calls

• Ability to handle and manage correspondence professionally and efficiently
