Position Overview
We are looking for a motivated and detail-oriented Office & Facilities Associate to join our team. This dual role combines administrative support in the office with cleaning responsibilities throughout the property, ensuring a welcoming and well-maintained environment for residents and guests.
Essential Functions and Responsibilities
Administrative Duties:
Greet and assist residents and visitors in a friendly and professional manner.
Answer phone calls and respond to emails, directing inquiries as needed.
Maintain accurate records and assist with various administrative tasks, including filing and data entry.
Help manage resident communications, such as newsletters and notices.
Assist in scheduling maintenance requests and coordinating with vendors as necessary.
Support the Property Manager with tasks to ensure efficient office operations.
Cleaning Responsibilities:
Perform routine cleaning of common areas, including lobbies, hallways, stairwells, and recreational facilities.
Clean and maintain the leasing office, ensuring it is presentable and organized.
Conduct regular inspections of the property to identify and report maintenance issues.
Ensure proper use and maintenance of cleaning supplies and equipment.
Follow established cleaning schedules and protocols to maintain a safe and hygienic environment.
Assist with seasonal cleaning tasks as needed, such as window washing and deep cleaning.

Required Education and Experience
Previous experience in office administration or cleaning preferred.
Strong communication and interpersonal skills.
Ability to work independently and manage time effectively.
Attention to detail and a commitment to maintaining a clean and organized environment.
Basic computer skills, including proficiency in Microsoft Office Suite.
Flexible availability to accommodate office and cleaning schedules.
Work Conditions & Physical Demands
Work is performed indoors and outdoors in a residential setting with regular exposure to cold, heat, noise, people, and equipment.
Able to work independently or as a team member and support managers with special projects.
Strong collaboration skills – works well across functional areas—excellent relationship-building skills; able to collaborate with various levels of the organization.

Expected Hours of Work & Travel
Must be able to work various shifts when needed to cover during regular business hours, including weekends, evenings or overnight shifts and evenings.
