About the Work Unit

The Office of Missing and Murdered Indigenous Relatives (OMMIR) was established in 2022 and exists to serve as a liaison on behalf of the indigenous community on issues related to missing or murdered indigenous relatives. To achieve this goal, the unit conducts the following statewide activities:

  • Develops and enhances partnerships with Tribal Law Enforcement and communities;

  • Collaborates with any relevant entities, including the Colorado Commission of Indian Affairs, federally recognized tribes, indigenous-led organizations, tribal and local law enforcement agencies, the Colorado Bureau of Investigation and the Colorado State Patrol;

  • Staffing and support of the Community Volunteer Advisory Board;

  • Provides information to families on how to report a missing or murdered loved one;

  • Collaborates with state and local partners to develop training and education.

  • Helps connect families with resources;

  • Reporting out and responding to questions from the legislature and the general public.

About the Job

This position provides administrative and programmatic support to the Office of Missing and Murdered Indigenous Relatives. The position provides internal and external customer support. Duties include providing general administrative assistance and support for the OMMIR, providing logistical support and preparation for meetings and events, communicating with both internal and external stakeholders.

Key Responsibilities

Administration and Program Support

Provides the Office of Missing and Murdered Indigenous Relatives administrative support which includes, but is not limited to, general administrative assistance and support for the Office Director, providing logistical support and preparation for meetings and events, synthesizes and disseminates pertinent information to internal staff and external stakeholders. Facilitates information sharing with internal and external stakeholders and partners.

  • Design and implement filing systems for the MMIR Office, ensuring that these systems are maintained and current and are in accordance with office guidelines and procedures.

  • Schedules meetings, provides logistics support for events, and answers questions via phone, email, and in-person.

  • Establish and implement procedures for record-keeping, data retention, and document dissemination for the Office, ensuring that the means and methods implemented are in accordance with the Department of Public Safety and the DCJ guidelines and procedures.

  • Coordinates, facilitates, and organizes a wide-range of administrative and programmatic functions and activities including, but not limited to expenditure and budget tracking, receipt coding and processing, policy compliance, etc.

  • Stores, formats, edits, revises and prints reports.

  • Directs customers by providing resources and informational services.

  • Writes and maintains the desk manual to outline procedures relevant to support the programming for the Office of Missing and Murdered Indigenous Relatives.

  • This position determines what information is pertinent to new staff joining the team and helps to onboard new staff within OMMIR so the new staff members have a working knowledge of the copiers, supply orders, printing codes, and work-related travel procedures.

  • This position has to have a working knowledge of procurement rules, accounting procedures, and CORE.

Customer Service and Support

Position provides internal and external customer support. Answers incoming calls and emails, screens and directs calls, and takes messages. Prepares, provides and exchanges information with external customers and the Director, and refers them to the appropriate resources.

Creates, edits, and reviews written correspondence on behalf of the Director, including memos, emails, letters, cards, official publications, and communications to internal and external stakeholder groups.

  • Answers phones, screens and directs calls, and takes messages.

  • Prepares, provides and exchanges information with callers and visitors and refers them to the appropriate resources.

Website Management and Accessibility of Documents

This position is responsible for the maintenance of documents on the OMMIR website pages including the addition of new material to the website, removal of old material, and the creation of new pages. All of this has to be completed in compliance with CDPS branding standards and compliance with accessibility rules and laws. This position must complete multiple trainings and reference OIT resources to stay up to date on accessibility standards and laws as well as branding standards.

This position has to coordinate with the DCJ project manager and the DCJ public information officer to ensure that the website is up to date. In addition, the position has to coordinate with these same positions to make sure that there are not concerns about new information that is added to the websites so it is accurate and the information is shared in a timely manner.

Creates content with accessibility in mind. Creates, produces, and publishes primarily text-based content.

Ensures compliance with digital accessibility regulations and requirements by performing the following duties and

responsibilities.

Incorporates content accessibility requirements (semantic structure, meaningful links) into content authoring workflows

Creates alternatives for media content, such as image descriptions and figure captions. Uses content authoring and publishing platforms that support accessibility. Partners with colleagues and team members to prioritize accessibility in content production.

  • Determine whether documents provided by OMMIR staff meet the accessibility standards.

  • Selection of colors and fonts that comply with branding standards.

  • Determine when information on the OMMIR webpages needs to be removed or updated. This includes correcting active links on the pages.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

NOTE: To be considered for this position, you must meet one of the following options for consideration.

MINIMUM QUALIFICATIONS:

Four (4) years of professional experience in administrative support that included providing executive and/or program support to an individual or a team.

OR

Ba chelor's degree in any field.

WORK ENVIRONMENT

  • This position will work within a hybrid model with a minimum of two days in the office.

CONDITIONS OF EMPLOYMENT

  • Requires successful completion of a background investigation that includes a polygraph exam and fingerprint based criminal history search.
