Description of Job
ABOUT THE WORK UNIT
The Office for Victims Programs (OVP) exists to improve the physical and emotional recovery of Colorado’s crime victims and to restore victims’ confidence in the criminal justice system. To achieve this goal, the unit conducts the following statewide activities:
Development, implementation, and enforcement of the Standards for the administration of victim programs;
Investigation, mediation and enforcement of compliance with constitutional and statutory requirements to protect the rights of crime victims;
Development of public policy initiatives for victim services in Colorado, including coordination and collaboration with state and local public and private non-profit and governmental victim service agencies;
Training and education;
Administration of federal formula grants, two federal discretionary grants, and one state grant program;
Staffing of the Crime Victim Services Advisory Board, which has statutory responsibilities and funding recommendation responsibilities;
Data collection and reporting to the legislature, the general public and the federal government;
Administration of the Sexual Assault Victim Emergency payment program; which includes the review and authorization of payments for forensic medical exams and medical costs in certain situations; and,
Staffing of the Colorado Human Trafficking Council (CHTC), which has statutory responsibilities for policy recommendations to the General Assembly.
ABOUT THE POSITION
Provide proactive administrative support to OVP’s Human Trafficking Team;
Provide logistical support to Colorado Human Trafficking Council (the Council), primarily their monthly meetings;
Manage all of the data entry needs of the Human Trafficking Team.
The individual in this position must be detail-oriented, flexible, able to prioritize tasks, and work independently. In addition, the individual in this position will be required to proactively resolve conflicts, anticipate changes, and adjust to changes in schedules, rules and procedures. Additionally, the individual in this role must work collaboratively in a team environment as well as assist other staff members as needed. Proficiency in newsletter email clients such as GovDelivery, Google Suite, Microsoft Office Suite, JotForm, Drupal web platform desired.
Human Trafficking Program
The individual in this position will manage the day-to-day administrative tasks of the Human Trafficking Program and of the Council. This encompasses coordinating all meeting logistics including making meeting and conference arrangements, preparing meeting materials, setting up meetings, catering orders, and conducting meeting follow-up such as drafting meeting minutes.
In addition, the individual in this position will be in a customer facing role, as the initial contact person for members of the public, the Council, Advisory committees and other stakeholders. Another aspect of this Program Assistant role is to manage web and email communications for the Human Trafficking Program. This includes monthly updates of the Human Trafficking Council website, putting together an email newsletter and regularly checking and responding to all Human Trafficking team general inboxes. The position also entails data entry of training data and sending out training certificates to participants.

This position will work within a hybrid model of home and office, with a minimum of two days required in the office (Lakewood, CO)
KEY RESPONSIBILITIES
Staff Support to the Colorado Human Trafficking Council
Coordinates all of the logistics for the monthly Council and advisory committee meetings as well as events and training that are sponsored by the Human Trafficking Council and DCJ. Duties include but are not limited to:
Prepares meeting materials and handouts for Council, Advisory Committee members and materials to be available to members of the public via the Council’s website, to be sent electronically prior to meetings and in hard copy at the meetings.
Responsible for creating and managing virtual meeting option. Including sending virtual meeting details to Council members, guest speakers and members of the public.
Coordinates venue logistics and catering including management and research of venue, caterers, A/V capabilities, etc.
Be the primary person responsible for meeting logistics, fulfilling catering needs, purchases of monthly meeting supplies, preparing and organizing all items for transport to the meeting venue.
Responsible for coordinating day of meeting logistics with HT team, including running the virtual meeting logistics for Council members and members of the public that attend
Work with Unit Program Assistant to process all internal paperwork for official functions for the Council meetings, including travel reimbursement forms.
Provides support to advisory committees as assigned.
Takes comprehensive notes and draft meeting minutes for Council and Advisory committee meetings as assigned.
Serves in a customer-facing role, as the first direct point of contact for Council members, advisory committee members and members of the general public.
Administrative Program Support to the Human Trafficking Team at OVP
The individual in this position will provide overall programmatic support to staff of the Human Trafficking team. Duties include, but are not limited to:
Manages and maintains the Council’s website including making regular updates to the website.
Maintain and update the statewide human trafficking event calendar, which lives on the Council’s website and ensure all Council meetings and its advisory meetings are listed on the DCJ public calendar.
Communicates information about Council meetings, training, news, and other relevant information.
In partnership with the Human Trafficking team, draft the “Anti-Trafficking Insider” newsletter.
Provides support to the Human Trafficking Program Coordinator with administration of the National Compendium of State-run Anti-Trafficking initiatives and their virtual quarterly meetings.
Assist with updates to the Resource Library website for the National Compendium of State-Run Anti-Trafficking Initiatives.
Serves as the first point of contact for all general inquiries from the general public and monitors the HT Teams’ general inboxes, including forwarding emails to appropriate team members and answering general inquiries.
Delivers customer service to the public by providing information on Council activities, information and resources on human trafficking issues.
Primarily responsible for responding to requests for partners and the public forThis is Human Trafficking campaign materials.
Data Entry
The Program Assistant is responsible for database management and all data entry for the Human Trafficking Program. Duties include, but are not limited to:
Enters data for training pre and post-training tests, as requested.
Produces and distributes certificates of participation to participants in the various training programs delivered by the Human Trafficking Team.
Enters new contact information and/or updated contact information into email newsletter database
Monitors and updates newsletter subscribers to target active recipients and remove inactive ones.
Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
MINIMUM QUALIFICATIONS:
Four (4) years of professional experience in providing administrative support.
OR
Ba chelor's degree in any field.
