Description of Job

The Administrative Assistant plays a crucial role in supporting the Director and ensuring smooth operations across the advising, transfer, and special programs departments. This position requires a high level of organization, technical proficiency, and the ability to make independent decisions. Key responsibilities include coordinating departmental advising meetings, following up on action items, and arranging for guest speakers. This position will manage schedules for appointments, meetings, and events, including room reservations, while serving as the primary resource for software and equipment training, assistance, and troubleshooting. Additionally, the role involves arranging travel for staff and streamlining office procedures, departmental print media, and reporting processes. This position will perform complex technical support functions such as word processing, spreadsheet management, data entry, and personnel file maintenance. They will also provide clerical and operational assistance to the advising, transfer, and special programs offices, coordinate facility and computer service requests, and assist with new employee onboarding. Compiling monthly reports from all departmental directors is another important aspect of this role. Independent decision-making is essential in various areas, including anticipating and managing office supply needs, organizing file systems for efficient retrieval, selecting appropriate software for form creation, providing software troubleshooting support, coordinating multiple calendars for appointments and meetings, and identifying resources for effective problem-solving. The assistant will also assist with staff coverage and provide recommendations to the Director and Senior Academic Advisor regarding cyclical staffing needs. This position demands a proactive approach, strong attention to detail, and effective task prioritization. The ideal candidate will possess excellent communication skills, adaptability, and a commitment to supporting the department's goals and student success initiatives.

This position will recruit, hire and supervise student support staff, train and provide feedback to student personnel on all facets of daily office procedures (phone, email, filing, appointments and walk in traffic). advise and give direction regarding operational problems, work unit objectives and change in priorities. Assist director and senior academic advisor in establishing a master work schedule for full time and part time advising staff, and student workers assuring adequate coverage as needed following the seasonal student traffic patterns. Integrate SARS software into the development of staffing patterns. Established systems to display and manage four-year college transfer information. Keep all waiting area print materials updated and stocked. Train and supervise new student success navigator position, which grew out of a multi semester supervised internship.

This position will monitor Department budget and identify potential deficiencies. Research payment problems, prepare and process interdepartmental invoices, expense found tours, and purchase orders. Initiate purchase requisitions and allocate procurement card purchases to correct org. codes. Conduct a monthly reconciliation of P-card purchases. Apries director of operating costs for budget projections. Confer with business office in purchasing office as needed. Oversee travel reimbursement procedures for all departmental staff. Track and monitor mini grants in innovation funding budgets.

MINIMUM QUALIFICATIONS:

Experience Only:

Thirty-six months (36) of clerical experience as listed above which includes monitoring and maintaining departmental budgets. Successful candidate must have excellent customer service and interpersonal skills. In order to be considered for this position, your clerical experience must be the primary function of the job. Daily interaction with students, faculty and staff require that this position have strong interpersonal, communication and organizational skills. Candidate must have experience providing excellent customer service and interfacing with a variety of people from many levels within the organization and community. Computer literacy is a must. Effective verbal and written communication skills are necessary for success in this position.Do not use "see resume" statements in application.Your application must be completed in detail, showing relevant experience in order to be considered. Part time experience will be prorated.

Education and Experience:

College, university, or non-correspondence business school course work from an accredited institution in Business or related field may substitute for the clerical experience as listed above on a year for year basis however, there is no substitution for the specific experience. A copy of your transcript verifying the required credits must be receive by application deadline in order to be considered.

Preferred Qualifications: Please provide a detailed description on your application of your relevant work experience and document examples of your work in relation to the following: Experience involving a wide range of clerical responsibilities. Previous experience supervising other clerical staff. Prior experience entering information into a database with a high level of speed and accuracy. Experience working with a student information system such as Banner or similar system. Prior work experience at a community college or other academic environment. Excellent organizational skills; attention to detail (ability to check for typographical, grammatical and spelling errors, etc.); ability to multitask and be a self-starter; excellent communication skills in person and on the telephone; ability to effectively communicate with others via written correspondence. Experience explaining policies and procedures. Experience with problem solving processes. Strong knowledge in extracting information from Excel spreadsheets. Ability to deal with a diverse population with discretion and tact.
