Responsibilities OVERVIEW The Documentation Specialist is responsible for creating, managing, and maintaining comprehensive documentation for our ingredients and packaging used at our manufacturing facilities as well as our co-manufacturing partners. This role ensures that all documentation is accurate, up-to-date, and easily accessible to relevant stakeholders. The scope of this role includes process ownership for requesting documents from ingredient suppliers including initial documentation requests for set-up as well as ongoing documentation maintenance. This would include reviewing, approving, and uploading of all technical documents from co-manufacturers and ingredient suppliers for the PCB Pet team. Responsibilities and Accountabilities Ownership of the Pet QFS SharePoint site with oversight of the content and provide oversight and responsibility for setting up new SMA requests within Intelex Supplier Management for the PCB pet business. Serves as single point of contact for SMA initiation during integration until completion and final solution is developed. Validates supplier information based on the requests provided by requestor to minimize incorrect information setup and rework. Validator/Intelex Admin role for documentation requests Request all documents for new SMA requests (Supplier and Co-man) Review documentation for completeness. Review documentation for appropriateness. Assess the information provided from a technical lens to minimize incorrect or incomplete information within the system and streamline the process. Manage back and forth with the supplier until complete information is obtained. Upload documentation into Intelex Supplier Management for review by cross functional teams. Close out SMAs within Intelex once cross functional reviews are complete. Supplier Documentation Maintenance Responsible for obtaining supplier signed spec (either directly with supplier or from procurement) and uploading to system. Track certificates through Intelex with expiration dates – this role would re-request expiring documentation prompted by Intelex. Other document expirations are not automated – this role would be responsible for reviewing and re-requesting continued documentation. Uploaded provided documents and routing them for review/approval by cross functional teams. Intelex System Maintenance - Automation of information within the system - updates to supplier information, handling facilities, etc. Updating Intelex supplier information based on the new documents with coordination from other PHI divisions as necessary. Reporting Capabilities are possible but require manual entry of data from documents received. Qualifications Education Four-year college degree in Food Science, Biological Sciences, Chemical Sciences, Engineering or other related field of study required. Experience Minimum of 1-2 years experience in documentation management or related technical background Other Knowledge, Skills, and Abilities Excellent organizational and problem-solving skills Strong attention to detail and organizational skills Proficiency with documentation tolls and software (e.g., Microsoft Office, Adobe Acrobat) Ability to understand and explain complex technical concepts in a clear and concise manner Savvy computer skills to build dashboards, reports, SharePoint sites Collaborative with all levels of the organization Ability to compile, analyze and present collected data in summary form Ability to communicate technical, scientific, and regulatory information, both written and verbally
