Administrative Assistant

job summary:

  • Responsible for all administrative functions for strategy and operations team leader as well as GMAP oncology leadership team including answering phones, calendar management, scheduling travel, managing correspondence and scheduling couriers, processing expense reports, meeting/event planning, creating or modifying business documents, preparing presentations from source materials, handling teleconference videoconferencing setups and helping to manage financial tracking including the opening and approval of POs for new projects, liaises with finance & purchasing where necessary and to help manage the GMAP Oncology budgets in collaboration with GMAP budget holders

  • Coordinate calendaring and meetings for GMAP strategy and operations and oncology leadership team members (3)

  • Partners with Administrative Assistant for VP of Global Market Access to coordinate meetings and provide support for GMALT, MARS and Oncology leadership team meetings

  • Coordinate any offsite meetings for GMAP operations team and/or oncology leadership team

  • Help to set agendas and record meeting minutes for GMAP Oncology leadership team meetings

  • Schedule travel and create expense reports for team members

  • Schedule meeting rooms and videoconferencing/Webex as needed

  • Project manage opening of new P.O.s in procurement system and tracking until closed, communicate progress to project owners

  • Track department finance budgets and communicate status to budget owners

  • Help manage GMAP sharepoint drives for GMAP oncology team


  • High school diploma or equivalent. Some college or college degree preferred

  • 2-3 Years of previous admin experience or equivalent

  • Basic to intermediate knowledge of Microsoft Office Suite, Adobe Acrobat, Outlook

  • Understanding of Company procurement and P.O opening and tracking process a plus

  • Desire to take on additional responsibilities beyond traditional AA work (i.e. finance and procurement tracking)

  • History of effective coordination across Admin functions at Company

  • Project management experience a plus, or desire to learn

  • Make it happen spirit & attitude as well as persistence.

  • Learns fast, grasps the "essence" and can change course quickly where needed
