Big Ray's Regional Office Manager in Kodiak, Alaska
Position Summary - The regional office manager (Kodiak) position requires the use of a personal vehicle to travel to the bank, as well as a weekly supply run. The regional office manager provides accounting and human resources support to the Kodiak store by delivering cash deposits to the bank, coordinating with accounts receivable for daily processing of vouchers/purchase orders and deposits, coordinating with payroll/human resources for new hire document requirements and benefit coordination, and routing mail and other paperwork between Fairbanks and the various departments in Kodiak.
Essential Job Functions Balance and prepare daily deposit and email totals to Controller. Perform daily bank run. Maintain proper change in the safe and perform change orders at the bank. Investigate overages and shortages with deposits and report to management and Controller. Report paid out/in and anything coded to other (donations/promotions) to Controller. Verifying safe totals daily, maintaining activity log. Email activity log to Controller weekly. In conjunction with accounts payable, manage check requests for Consignment Sales. Reconcile ADFandG licenses on a weekly basis and report Fish and Game license sales at month end, sending request for payment for all stores. Maintain ADFandG supplies, ensuring all stores have the proper books, tags, and other collateral to conduct ADFandG Sales. Provide new hire orientation and collect and upload necessary new hire documents as per payroll/human resources requirements. In conjunction with payroll/human resources, coordinate enrollment of employee benefits and upload enrollment forms to the designated file repository and mail the originals. Email customer vouchers/purchase orders to accounts receivable and mail originals. Assist Market Manager to plan, organize, and implement the employee events throughout the year. Assist in the implementation of planned customer events throughout the year. Prepare packet for Fairbanks - organize vendor invoices and administrative paperwork and mail to the accounting/human resources department regularly. Email a copy of customer checks with stub to Controller and deposit customer checks at the bank. Maintain and audit KISA Paperwork - receive and verify keys that are provided to us. Process end of day overflow paperwork - ensure special orders are routed to the correct buyer.
Non-Essential Job Functions Produce all correspondence as required. Process all incoming/outgoing mail. Run errands for the store as needed. Maintain office and store supplies, ensure proper general ledger expense coding for each department. Answer and direct calls during business hours. Other store operation/ administrative duties as assigned.
Independent Decision-Making Make routine job-related decisions.
Supervision Received and Exercised This position is supervised by the controller/human resources director; no supervision exercised.
Physical and Mental Demands The physical demands of this position require frequent standing, walking, sitting, speaking, and hearing. Requires near vision to write and read printed materials and computer screens. Requires hearing and speaking to exchange information on the telephone or in person. The employee is regularly required to reach with his/her hands and arms and lift items weighing up to 40 lbs. Must be able to use carts, ladders, dollies, and stools to assist in moving or shelving items. Requires sufficient arm, hand, finger dexterity to operate a keyboard and other office equipment. Repetitive motions with wrists, hands, and fingers may also be required. Requires the ability to operate a vehicle safely. Requires the ability to climb a flight of stairs. Additionally, the employee must be able to communicate by oral and written means in an appropriate business manner and have cognitive skills to understand instructions, readily recall facts and details, handle conflict, and make effective decisions under ressure. Work Environment This position is performed in an office setting with the offices located within a retail store. The employee will occasionally be on the retail floor among clothing and related fixtures or in the warehouse among boxes of clothing and financial records.
Job Qualifications The following are required: High school diploma or GED. Valid drivers license. Specialized training or equivalent experience in Microsoft Office Suite of programs. Two years of office work-related experience. General knowledge of business. Broad knowledge and experience in office operations and accounting/bookkeeping practices. Above average skills in organizational abilities, computer operations, and basic math. Excellent skills in oral and written communication. Demonstrated ability to complete required tasks and assignments outlined in the job description or otherwise assigned. Demonstrated ability to take initiative to perform job duties not specifically assigned and/or make changes to current processes in order to improve the position, department and/or company. Demonstrated ability to focus on the task at hand. The following is preferred: Knowledge of human resources. Associate degree or equivalent from a two-year college or technical school.
