Job Summary and Qualifications

Under the general direction of the Director Critical Care Services, the Departmental Secretary performs administrative support services for all Critical Care Units. This individual will support the clerical functions. Responsible for payroll and knowledgeable of Meditech and other basic computer programs used in the department. Accountable for maintaining and improving own job knowledge and skills. Supports the hospital’s mission, goals, and objectives. Works closely with the Managers of the Critical Care Departments and Critical Care staff.

What you will do in this role:

  • Utilizes communication skills effectively in obtaining information from patients, physicians, physicians’ offices, and other departments in the hospital.

  • Utilizes knowledge of medical terminology and procedures in assisting offices with the processing of imaging procedures.

  • Utilizes secretarial skills effectively in fulfilling position responsibilities.

  • Proficient in utilization of computer systems to accomplish position responsibilities.

  • Proofs all correspondence for accuracy prior to distribution.

  • Maintains filing and record-keeping system to allow for easy retrieval of information.

  • Types correspondence, forms, reports, etc. as needed for management team and routes appropriately.

  • Collects and organizes material to be included in various meetings as delegated by the management team.

  • Gathers data and creates reports in a timely and professional manner and

  • routes appropriately.

  • Processes staff payroll including hours worked, PTO requests and other hours accurately and in a timely manner with few discrepancies.

  • Strives to meet deadlines in completing special projects as assigned.

  • Assists management team with various administrative tasks and maintains current calendar of department meetings, medical staff meetings and other hospital functions.

  • Attends department meetings and actively participates in said meetings.

  • Keeps self informed of various changes and concerns through use of Meditech

  • Ensures personal safety and the safety of patients and visitors.

  • Applies/adheres to hospital and departmental policies/procedures in daily routine.

  • Conveys an appropriate appearance by consistent adherence to departmental/hospital dress code regulations.

  • Follows scheduled breaks and meals in the allotted amount of time.

  • Actively assists in maintaining a clean work environment by freeing desk areas, lounge areas, and hallways of clutter and trash as part of daily work routine.

  • Performs special assignments and duties as requested and/or according to educational training.

  • Reports potentially unsafe situations and malfunctioning equipment to Department Manager or Department Director.

  • Maintains current departmental inventory in sufficient quantities, adding, and deleting appropriately.

  • Attentive to detail and required paperwork inherent to the position, including minutes for meetings at which the director presides as well as unit staff meetings.

  • Demonstrates overall ability to prioritize and organize time, evidenced by ability to complete work assignments within assigned shift, thereby controlling overtime.

  • Responsible for monitoring and troubleshooting multiple staffing issues.

  • Prepares annual and initial competency packets, giving staff plenty of time to complete before due date.

  • Updates Managers on overdue HealthStream assignments of staff as well as nurse competencies and licenses.

  • Communicates effectively with staff, as well as with other departments.

  • Maintains strict confidentiality of sensitive material and information related to staff members or Hospital Department operations.

  • Understands the organizational and political structure of the hospital

  • and applies same in screening of correspondence and calls.

  • Carries out known tasks to completion without continued reminders.

  • Self-motivated; works independently toward task completion, requesting assistance when appropriate.

  • Actively participates in a minimum of (1) department/hospital performance improvement activity.

  • Demonstrates knowledge of unique scheduling requirements and remains current on all changes as informed by department staff and/or Director.

  • Takes responsibility to answer telephone messages in a timely manner and pass along messages appropriately.

  • Develops a rapport with the all departments to establish a good working relationship.

  • Performs other duties as assigned by department managers.

What qualifications you will need:

  • Educational preparation related to office or managerial organization preferred.

  • Proficiency in using word processing and computer systems with typing skills.

  • Previous secretarial experience in hospital office management preferred.

  • CPR required, must be American Heart Association

  • High School Graduate / GED
