Description
We are offering a contract to permanent employment opportunity for an Office Manager in Keller, Texas. This role is within the industry and involves administrative office and back-office support tasks. The workplace is a dynamic and fast-paced environment where you will play a crucial role in maintaining organization and efficiency.
Responsibilities include:
• Handling incoming calls and greeting visitors in a detail-oriented manner, setting the tone for their experience.
• Coordinating and dispatching calls and messages to the right personnel, while keeping precise records.
• Ensuring timely and accurate communication with clients by sending electronic statements and invoices.
• Tracking and recording employee work hours and project details through the management of time, materials, and labor check-ins.
• Utilizing software applications for data management, scheduling, and basic reporting tasks.
• Collaborating with team members to keep the office well-stocked, organized, and presentable.
• Overseeing the scheduling and coordination of appointments, meetings, and conference room bookings.
• Acting as a liaison between clients, visitors, and internal teams, addressing inquiries promptly and maintaining open communication channels.
• Identifying areas for process improvement within the front office operations and implementing solutions to enhance efficiency.
• Assisting in organizing company events, team-building activities, and special projects as needed while ensuring confidentiality and discretion when handling sensitive information and client data.
Requirements • Minimum of 5 years experience in an office management role.
• Strong proficiency in administrative office procedures and protocols.
• Proven experience in providing back office support.
• Adept at managing and maintaining office supplies and equipment.
• Excellent organizational and multitasking abilities.
• Proficiency in using office management software, including email tools, spreadsheets, and databases.
• Exceptional communication and interpersonal skills.
• Ability to manage and lead a team effectively.
• Strong problem-solving skills and ability to make decisions under pressure.
• Detail-oriented with a high level of accuracy in work.
• Ability to maintain confidentiality of sensitive information.
• Proven ability to handle multiple tasks simultaneously.
• Willingness to adapt to new challenges and changes in the work environment.
• Capable of working independently with minimal supervision.
