Welcome to the Private Clients Advisory (PCA) practice within Moss Adams. We are currently seeking an A/P Operations Coordinator to join our Operations team. This position is a part of a fast-paced team focused on creating a seamless client experience. The ideal candidate is self-motivated, proactive and results focused. The Family Office is a sub department of our Private Clients Advisory (PCA) practice that provides clients with the resources they need to manage complex financial affairs and reach their personal and family goals.

The Family Office A/P Operations Coordinator works with high-net-worth families to satisfy daily financial needs. This position is responsible for payments and controls expenses by receiving, processing, verifying and reconciling invoices. This position will also be required to book journal entries and prepare reports.

Responsibilities:

  • Processes high volume of incoming invoices; charges expenses to accounts and cost centers based on historical invoice/expense reports; records entries into QuickBooks

  • Vendor Management: Prepares checks and reconciles monthly statements

  • Processes client household expenses and reimbursement forms, monitoring account cash balances and maintaining ledgers by verifying and posting account transactions timely.

  • Prepares weekly invoice approvals with direction from team

  • Assists high-end clients with questions by gathering data from appropriate resources, in consultation with client team

  • Utilizes team resources to follow-up on client requests, effectively collaborating with internal/external teams, and leveraging basic office systems as applicable

  • Supports maintenance of historical records through scanning and electronic document management, following established procedures with mastering and organization

  • Coordinates medical insurance claims with support of client team

  • Gathers data from appropriate resources to address client needs such as: organizes and processes incoming mail, attains W-9 from applicable vendors

  • Protects client information, maintaining strict confidentiality

Qualifications:

  • High School Diploma/GED required

  • Minimum of 1 year of related experience required

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and SharePoint) and aptitude for learning internal programs and software

  • Experience with Bill.com and QuickBooks preferred

  • Strong planning and organization skills; able to effectively prioritize assignments and competing deadlines in a fast-paced environment; handling multiple projects and tasks simultaneously while maintaining quality work

  • Ability to use resources efficiently, meet deadlines, and keep others informed of work plans and progress toward goals

  • Ability to work independently as well as effectively collaborate across functions/departments/teams and team with individuals at all levels

  • Demonstrates excellent organizational, problem solving and communication skills in a highly collaborative team environment

  • Strong analytical skills

  • Ability to handle confidential information with integrity and discretion

  • Ability to travel as needed, not expected to be greater than approximately 5%

Compensation Range (Denver Market ONLY): Compensation range for Colorado: $50,000 -$64,000 Compensation range for Washington: $50,000 -$68,000
