Job Description

The Jacksonville Public Library is seeking a Part-Time Administrative Specialist. This position serves in a front-line customer service capacity. Work is performed in an office, library, or community environment to promote adult literacy services. Due to the nature of library operations, the employee may be required to work evenings and on weekends.

Customer contact requires courtesy, tact, and effectiveness which will include providing information, asking questions, or obtaining clarification. Contacts with customers and co-workers require skills in understanding and influencing people which are important in providing services.

This is administrative support work providing customer service through data entry, filing, processing, and maintenance of files, records, and materials. The work is semi-routine where tasks are covered by procedures or policies, and although patterned, some latitude is permitted to consider and choose the most appropriate technique, method, or procedure to follow. The employee is given latitude to rearrange the sequence based on changing work situations or workflow.

Examples of Work

  • Provides information and technical assistance to customers regarding library services, programs, policies, and procedures.

  • Receives and screens department telephone calls, effectively addresses caller requests, or guides callers to the appropriate staff in a timely and courteous fashion.

  • Supports the overall mission of the Library by providing customer service in a manner that creates a positive customer experience. Assists customers in completing required forms and documents.

  • Operates standard office equipment such as personal computer using word processing, spreadsheet, databases, webhosting platforms, and other related software.

  • Searches on-line databases and print resources as required to assist customers with ready reference question(s) (e.g., computer sign-in, title search in on-line catalogs).

  • Receives, processes, and maintains correspondence, library materials, files, documents, and records in various formats.

  • Maintains and inputs information into data management systems following established procedures.

  • Receives, composes and/or reviews correspondence, presentations, reports, policies and procedures and other materials on general or technical subjects; edit and proofread for accuracy and completeness.

  • Attends meetings, oversees the recording, preparation, and maintenance of minutes and makes presentations on administrative and technical subjects.

  • Coordinates and manages the calendars for the department and keeps them apprised of scheduled appointments and meetings.

  • Coordinates logistical details of meetings, seminars, and conferences to include attendees, registration, travel, and accommodations.

  • Assists with maintaining appearance standards by reporting facilities issues and picking up litter on library grounds.

  • Performs related work as required.

  • Two years of education and/or experience in administrative, clerical, or library support work.

  • High school diploma or GED preferred.
