R.W. Mercer Co Administrative Assistant - General Contracting in Jackson, Michigan
R.W. Mercer Co. is a family-owned construction and service company headquartered in Jackson, Michigan with seven locations -- six in Michigan and one in Indiana. The company operates in three distinct areas of construction: petroleum contracting and service, general contracting, and electrical. In each area, R.W. Mercer provides a turn-key approach that includes planning, design, construction, and installation as well as service, monitoring, and maintenance.
ESSENTIAL FUNCTIONS
- Opening and closing jobs using internal ERP software and systems.
- Processing Purchase Orders, Work Orders and Change Orders.
- Creating and sending accurate and timely invoices.
- Provide administrative support to Project Managers as needed.
- Managing Certified Payroll Reports.
- Resolve billing errors and discrepancies.
- Assisting vendors and subcontractors with all inquiries and questions.
- Assist Accounts Payable with coding and processing of payables.
- Perform any necessary administrative duties such as month-end reporting and filing.
- Work with other members of the billing and accounting staff, such as Accounts Payables and Accounts Receivable.
ADDITIONAL RESPONSIBILITIES
- Prepares professional correspondence and documents as required.
- Typing emails, letters, reports, and general correspondence.
- Create and maintain a filing system that facilitates efficient and timely retrieval of documents.
- Maintain reports and tracking, as necessary.
- Maintain strict confidentiality as required.
- Other duties as assigned.
KNOWLEDGE / SKILLS / ABILITIES
- Excellent customer service.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to multi-task and work well under pressure, meeting monthly deadlines.
- Proficient in Microsoft Word, Excel, Outlook, and DocuSign.
- Must have basic math and calculation skills.
- Must have an understanding of taxes -- sales and use tax.
JOB QUALIFICATIONS
- Minimum 2-5 years' administrative experience.
- An associate degree is preferred.
- Experience or knowledge of the construction industry is helpful but not required.
