The Opportunity


The Admissions and Scholarship team at the SC Johnson College of Business is dedicated to attracting, selecting, and matriculating the highest caliber of diverse students into our prestigious MBA program. We are seeking a dynamic and detail-oriented Assistant to the Executive Director of Admissions and Scholarship. This role provides high-level administrative and organizational support with general supervision, playing a crucial part in achieving our enrollment goals.


Key Responsibilities

Administrative Support:

  • Calendar & Travel Management: Manage calendars, mail, travel arrangements, and correspondence for the Executive Director. Requires strong written and verbal communication skills, ability to multi-task, prioritize, efficiently manage time, maintain confidentiality, and take initiative.
  • Interaction Management: Handle interactions with high-level individuals within the Johnson School, Cornell University, and external contacts such as prospective students, vendors, alumni, and others. Collaborate regularly with assistants for the Johnson Leadership and MBA Programs teams.
  • Salesforce Management: Maintain student/alumni information in Salesforce, documenting all contacts, phone calls, or meetings on behalf of the Executive Director.
  • Internal Communication Facilitation: Distribute and record information, schedule meetings and events, communicate weekly staff coverage and absences, and act as the primary point of contact between the Executive Director and internal/external constituencies.
  • Office Supply Management: Order supplies, maintain inventory, and manage marketing materials for regular and special events.
  • Organizational Improvement: Provide input and assistance with organizational and process improvements, including filing systems, scheduling, event program development, and follow-up items.
  • Proactive Support: Anticipate and address the needs of the Executive Director, ensuring smooth workflow.
  • Compliance: Understand and comply with federal, state, and university data privacy, security regulations, policies, and best practices regarding student records. Ensure legal and ethical admissions operations.

Budgeting:

  • Monthly Budget Reporting: Assist the Executive Director with monthly budget reporting, ensuring proper charges to all accounts. Navigate budget systems within guidelines, ensuring accuracy and timeliness.
  • Reimbursement Management: Track traveling staff, outstanding reimbursements, and serve as the point of contact for communicating with Central Financial Services regarding reimbursements.

Special Projects & Admissions Support:

  • Project Coordination: Assist the Executive Director with special projects, ensuring timely completion.
  • Office Coverage: Lead coverage for incoming calls and serve as a backup for main office visitor coverage.
  • Additional Responsibilities: Participate in various projects with occasional responsibilities beyond the current classification.

What We Need

  • Excellent written and verbal communication skills, attention to detail, very strong MS Office suite skills and organizational skills.
  • The ability to work in a fast paced, busy environment, under tight deadlines, with a demanding environment within enrollment management, in a calm and efficient manner is essential.

  • A bachelor's degree and experience in higher education preferred. Experience with administrative roles.
  • High-level Excel and PowerPoint experience and skills, and positive experiences in process improvement.
