Chemonics seeks aCoordinator,Project Support Center (PSC)to join the Europe and Eurasia (E&E) Division.The coordinator will provide entry-level operations and project administration support and completes professional and administrative tasks related to supporting the E&E division and global project(s) implementation.This role requires on-site work in our Washington, DC office location as part of our hybrid, flexible work structure.The Europe and Eurasia division currently has a portfolio of 23 active projects in technical sectors spanning economic growth, education, water, agriculture, democracy and governance, and peace and stability. We are looking for candidates that will contribute to the success of our business unit by serving as proactive and effective partners to our division and project office staff. Strong candidates will have developed communication skills, be adept at learning new systems quickly, bring strong organization skills, and have excellent attention to detail. We are looking for individuals who have a passion for making a difference in the lives of people around the world.

Responsibilities:

ERP-Related Support:

  • Serves as a resource for ERP-related questions, following-up and/or escalating problems as appropriate

  • Responds to and troubleshoots queries

  • Submits timesheet delegations when staff are out of the office

  • Updates supervisors

  • Processes invoices from consultants on MSAs

  • Processes timesheets and expense reports on behalf of consultants and staff

  • Requests and activates PINs

  • Requests wire transfers including requesting bank account information and tracking requests through confirmation

  • Conducts invoicing

  • Sets up vendor and payment requests

    Project Support:

  • Liaises directly with support departments (HR, compliance, and F&A) to respond to requests for information, audit requests, and associated follow-ups/coordination with PMUs to ensure project compliance with rules, regulations, and corporate policy, in consultation with operations manager or director

  • Drafts and submits employment agreements and collects necessary backup documentation to complete administrative procedures for onboarding and repatriation of employees and consultants

  • Coordinates travel and visa requests

  • Supports review of local expenses, supporting documentation, or draft invoices for review and approval

  • Analyzes subcontractor invoices and backup documentation and submits for payment

  • Provides audit support by saving relevant project documents to project SharePoint files and facilitating document reviews as appropriate

  • Performs administrative tasks for closed projects

  • Supports ServiceNow requests

    Operations:

  • Provides SVP signature support

  • Conducts BB&T credit card reconciliations

  • Updates company trackers and databases

  • Forwards announcements and reminders to RBU staff

  • Performs other tasks as necessary

    Minimum Qualifications:

  • Bachelor’s degree required or equivalent work experience

  • Experience with data entry, filing, cataloguing, retrieving, and preserving records preferred

  • Communicates clearly and concisely in verbal and/or written communications

  • Demonstrated experience multitasking with attention to detail, organization, and time management skills

  • Demonstrated experience following standard practices and procedures, receiving general instruction and supervision, and contributing to projects and initiatives, whether in an academic or professional setting

  • Excellent customer service and interpersonal skills

  • Works independently and as part of a team

  • Demonstrated resourcefulness in problem-solving and initiative to learn new skills

  • English fluency required. Language proficiency for assigned geographic area preferred

  • Knowledge of Microsoft Office applications

  • Demonstrated leadership, versatility and integrity

  • Willingness to travel up to 4 weeks per year

    The Salary Range for this position is expected to be: $45,680 - $57,100.

    An employee’s pay position will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, performance, shift, travel requirements, and business or organizational needs.
