We are looking for a dynamic coordinator who is eager to structure the events & education department for the Scandinavian market. You enjoy working with others and bring experience in organizing events. You have a proven track record of handling stressful situations with composure and professionalism and with your hands-on personality you can build and expand the Scandinavian marketing support.

What an average day looks like

You start to check on your to-do list after which you have a Teams call with one of your colleague coordinators to discuss and work on the common webinars you are leading and running. After you get the venue contract signed you finalize your registration page and flyers and inform your team the event is live. You check the order list from the Warehouse and make sure all marketing materials are ordered in time for the different congresses the commercial team is attending. Unfortunately, one of the materials is not in stock so you decide to produce this locally to make sure it arrives in time. After a call with the Scandinavian team, you start planning and following up on some last-minute requests and answer emails that came in from customers regarding their upcoming event attendance.

Position Summary:

Supporting the events and education development of the Ormco business activities in Scandinavia and primarily overseeing the coordination of all educational events and congresses and supporting 30% of the time on marketing activities.

Coordinator of the end-to-end management of all internal and external (customer-facing) educational activities such as in-person or online events, local sales meetings and congresses that happen within your territory.

50% remote – 50% in Lyngby, Denmark office.

Duties and responsibilities:

  • Management of the local budget.

  • Maintenance and planning of the region’s calendar

  • Go-to person for all Scandinavian event & marketing related matters

  • Responsible for Pre- and Post-Event Operations, such as venue organization and coordination, registrations, customer communication and materials to be delivered and returned.

  • Collaborating in the contacting, booking and communication with Key Experts for the region’s calendar.

  • Responsible for Event Administration through approved Event Management System

  • Responsible for Participant Administration, utilizing CRM for tracking events and opportunities and uploading external participant lists.

  • Comply with indirect procurement procedures for event and marketing related expenses and invoicing to vendors and Key Experts / Speakers.

  • Ensuring smooth event operations on-site or remotely when on-site management is not a possibility.

  • Responsible for tracking and reporting KPI’s to Education & Events and Marketing departments.

  • Collaborate with the Translation & Localization Coordinator EMEA to create or review and approve accurate translations of marketing and event materials into the local language. 

  • Create engaging and on-brand local event and marketing collateral, such as flyers, booth designs, presentations, emails, and social media content in collaboration with internal stakeholders, such as central Marketing and subject matter experts.

  • Deploy events, product launches and local marketing campaigns into the local market and coordinate communication across all touch-points, including the website, email, print, social media, and internal communication. 

Job Requirements:

Skills and abilities:

  • Hands-on; getting things done mentality

  • Confident and able to manage expectations and priorities

  • Strong attention to detail, ensuring accuracy in, event planning, content creation, administration and logistics.

  • Excellent ownership, organization, and prioritization skills.

  • Effective and professional communication and interpersonal skills to collaborate with internal teams, external vendors, and Key Experts / Speakers.

  • Proficiency in using marketing software and tools, such as content management systems and design software is a plus

  • Familiarity with the dental/ healthcare industry regulations and compliance guidelines is a plus.

  • Fluent/Native in local language and Proficiency in English

  • Frequent travelling during the weekend (10-12 times a year)

  • 50% working from Lyngby, Denmark office
