Headworks, Inc. Project Coordinator - Aftermarket in Houston, Texas

Position Summary

The Project Coordinator offers assistance to the Aftermarket department throughout the sales, launch, implementation, and conclusion of projects. The Project Coordinator collaborates both autonomously and with a small team to guarantee the efficient and timely execution of all aftermarket projects. Additionally, the Project Coordinator provides backup and support to all departments within the company, as required.

Essential Functions

  • Attend meetings for planning and scheduling to keep the department calendar updated and manage work flow coordination.

  • Keep track of all official documents pertaining to projects (i.e. Quotes, Purchase Orders, Bonds, Certificates, etc.), as well as all official and unofficial project correspondence.

  • Serve as a liaison between the Aftermarket Department and other departments within the company.

  • Serve as a liaison between the company and clients (both current and potential).

  • Assist in maintaining and developing new departmental policies and procedures.

  • Ensure all records and files are maintained and up to date.

  • Ensure all project deliverables are completed within the designated timeframes, meeting all quality standards and requirements.

  • Assist in the thorough and accurate preparation of quotations, submittals and manuals, ensuring that all necessary documentation is included and organized in a clear and concise manner.

  • Efficiently manage the sending and receiving of important documents and packages, ensuring they reach the intended recipients in a timely manner while maintaining a high level of accuracy.

  • Create and modify documents such as: reports, memos, presentations, and letters using Microsoft O365 and other programs.

  • Work closely with the Aftermarket and cross-discipline teams to ensure that all aspects of the department are running smoothly and efficiently as possible.

Requirements

Qualifications

  • Minimum of two (2) years experience in an administrative or clerical position.

  • Very good interpersonal and communication skills.

  • Ability to understand information and ideas presented through oral and written communications.

  • Ability to read and understand technical communications to some extent.

  • Excellent organizational skills with the ability to multitask.

  • Good leadership skills.

  • Ability to juggle many different tasks and deadlines.

  • Ability to work closely with teams in achieving common goals.

  • Minimum 50 WPM.

  • Proficiency in all Microsoft Office programs.

  • Willingness to learn and take on tasks outside of the general job description.

  • Ability to perform all essential job functions independently.

  • Ability to read technical drawings, specifications for manufactured parts a plus.

  • Experience within the Wastewater Industry a plus.
