Associate Director, Patient Transportation -

SHIFT / HOURS / LOCATION: Monday - Friday (9 AM TO 6 PM) / 100% ONSITE

Summary

The primary purpose of the Associate Director (AD), Patient Transportation (PT) position is to provide operational leadership and management for the PT program and services. The Associate Director is responsible for leading, planning, and executing of the operational and customer service programs across the institutional enterprise with the goal of safe patient centered care, positive patient experience, and efficient patient care through out. Under the direction of the Director, Patient Transportation, the AD collaborates with other clinical and operational areas to design and implement best practices and solutions to improve effective and efficient patient flow and experience at the Texas Medical Center Campus (TMC), Outpatient Clinics, and the Houston Area Locations (HALS).

The ideal candidate for the Associate Director, Patient Transportation will have a Bachelor's Degree and 6 years of experience in a healthcare or corporate environment to include 4 years of supervisory experience.

Job Functions

  • Tactical and inspirational leadership to improve staff alignment and performance.

  • PT program planning, management, execution of departmental and institutional strategic projects.

  • Building internal and external customer and stakeholder relationships and ensuring federal and state regulatory compliance of all aspects of Patient Transportation services.

  • Performs daily inspection of assigned area.

This role requires expertise in patient throughout logistics, technologies, equipment, and patient and customer service needs across the institution.

JOB SPECIFIC COMPETENCIES:

People Leadership

  • Provide timely responses and communications to staff to include documented informal and formal coaching and counseling discussions, disciplinary actions, etc. regarding work performance, attendance and development opportunities.

  • Provide clear and accurate verbal and written communication.

  • Meet with direct reports regularly (at least monthly) to discuss their performance and address opportunities for improvement.

  • Assist Sr. Educational Specialist with ongoing training and change duties of staff.

  • Develop goals and provide support for direct reports

Administrative

  • Service Quality and Compliance - Monitor and document compliance of staff in accordance with patient and specimen transportation protocols. Intervene during observed violations and make remedial training recommendations to PT Management based on observations. Oversight HR component of Joint Commission employee filing requirements.

  • Develop and maintain SOP/Polices - Oversees and owns composition of detailed standardized protocols and policies to ensure accuracy in training and execution of process steps. Develop and update departmental policies and SOPs to ensure process improvement changes have been included and operational protocols are consistent with expectations.

  • Training content development - Coordinate with the Sr. Educational Specialist to develop and update training content and organize training sessions for escorts. Ensure alignment any institutional, Joint Commission, or CMS requirements

  • Audits - Coordinate and documents from internal audits to ensure accuracy in workflow compliance with SOPs, CMS requirements, and institutional or departmental policies. Conduct protocol audits specific to infection control and safety protocols.

  • Coordinate contingent/contract recruitment, onboarding, and training process - Work with PT Management and Contractor to assess need and fill vacancies to include offer status is tracked, vacancy reports corresponding shifts, interview scoring accurately captured and all assessments/decisions are promptly communicated to all stakeholders. Provide oversight of contingent worker performance management and assessment. (As needed)

  • Operational

  • Continuously evaluate workflows and productivity to identify and develop strategies to optimize efficiency in operations and patient flow by monitoring dashboards in OneConnect and running performance reports. Proactively develop detailed plans to present to leadership that improve workflows and customer satisfaction.

  • Analyze individual performance trends to identify ways to motivate staff to improve performance when needed and provide recommendations as to what developmental or workflow steps they take.

  • Liaison with customers and process stakeholders to assess customer satisfaction and identify changes in their needs in order to develop effective solutions in response.

  • Lead SI Events investigations to promptly and properly resolve issue to include all related communications.

  • Compose communication in follow up to meetings to capture key talking points and action items.

  • Develop strategies and plans of action to address operational issues, then solicit input from leadership prior to implementation. Respond to all employee and customer email inquiries and concerns to include identifying problem resolution or opportunity for improvement

Qualifications

Education

Required: Bachelor's Degree in Healthcare Administration, Business Administration, or related field.

Preferred Education: MBA or MHA Level Degree

Experience

Required: 6 years of experience in a health care or corporate environment to include 4 years of supervisory experience.
