Under judicial supervision, the Deputy Court Clerk (DCC) is responsible for assisting the Chief
Clerk, Court Administrator and Senior Deputy Clerk in court operations and services, with an
extensive variety of case related tasks, such as maintaining the judges docket calendar, serving
as the liaison with other court staff, state agencies and the public, ensuring the efficient operation
of the judges docket and office, and performing executive, secretarial, and administrative duties.
As a representative of the Judiciary, the DCC must maintain a high degree of integrity, decorum,
and respect for the court personnel and the public. This position serves two judges of the 41st
State District Court Judicial District based in City of Hot Springs, Garland County.
? Schedules motions, hearings and trials via in person, justice bridge, zoom, and via video
w/ local detention center.
? Coordinates and prioritizes the courts schedule with attorneys, parties, and agencies to
ensure attendance at hearings.
? Transcribes the judges docket notes into court case management system.
? Create and issue warrants as ordered during court settings.
? Coordinates and prioritizes inmate hearings with detention center staff, prosecutor, public
defender, attorneys, and bailiffs.
? Prepares and distributes orders as filed within the court.
? Reviews files for accuracy, maintains dockets, continuances, orders and determine need
for action by the judges.
? Perform receptionist duties by greeting callers on the telephone, and responding to
inquiries to provide direction.
? Provide quality customer service to the patrons of the court by offering courteous
assistance.
? Research and analyze relevant facts to ensure policy and state law is being followed, and
proper decisions are being made.
? Sort, screen, file mark and distribute mail, interagency mail, and all other
correspondence.
? Enter accurate data for reporting to various state agencies.
? Accurately receipt and process payments of fines, costs, restitution and fees. This
includes payments in person, payments received through the mail and waiver of
payments submitted by the prosecuting attorneys office.
? Monitor security of cash drawers, balance and verify daily funds collected.
? Reviews and prepares correspondence, memoranda, orders, reports, emails and other
documents observing strict confidentiality.

POSITION SUMMARY
JOB DUTIES
? Monitors guidelines for final disposition of cases and assists in monitoring and meeting
time frames.
? Monitor compliance of sentencing conditions.
? Prioritize and schedule court interpreters to ensure attendance at hearings and trials.
? Serves as liaison between Judges and citizen, interpreters, federal, state and local
governmental agencies.
? Prepare daily court dockets and ensures their readiness for court action.
? Provides case management by reviewing all documents and proposed orders for Judges
review and signature.
? Performs routine clerical tasks such as processing maintaining files/records, faxing and
photocopying.
? Perform detailed data entry in the court case management system.
? Review and process documents in the courts electronic filing system. Primary review of
all documents coming through the court which includes content, formatting, accuracy,
timeliness, compliance with the local rules. Route documents accordingly. Follow-up
with the parties when there is a problem. Interaction with the Bar and unpresented parties
regarding specific cases and instruction s being passed by the Judge.
? Draft and/or edit legal documents, proofread and verify accuracy.
? Create and update templates and standard documents for orders, motions and other
related documents.
? Complete special projects as assigned.
