BRIEF POSTING DESCRIPTION:

The P AD DISBURSEMENT ACCOUNTING Department of the P GENERAL ACCOUNTING Division at Hawaiian Electric Company has 1 Management vacancy available. (Role: Professional)

JOB FUNCTION:

Manage the daily activities of the Payroll Shared Services operation for all 3 Utility companies and HEI, coordinates the updating of payroll information between the HR/Benefits system and SAP Payroll system as well as the various systems that interface with payroll and ensures the timely, accurate and efficient processing of employee wage payments and taxes. Manage and enforce compliance with Payroll Sox controls as well as all Payroll tax and government reporting requirements. Manages and supports matters pertaining to Time and Attendance and Payroll functions and processes. Serves as the liaison between Payroll and other members of the CCOE/SAP matrix organization.

ESSENTIAL FUNCTIONS:

  • Work closely with operational areas and project management to coordinate timely and accurate Certified Payroll Reports (CPR).

  • Assist the Payroll activities of the Payroll Shared Services operation for all 3 Utility Companies and HEI. Manages timely and accurate payments and payroll tax withholding for all types of employee compensation including special processing of vested and non-vested imputed income plans, special awards programs, relocation programs, TDI and Workers Compensation payments. Ensures that Payroll processes and procedures are in compliance with internal controls, SOX controls, and legal requirements.

  • Assist in timely and accurate updating of employee payroll information between the HR/Benefits system and SAP Payroll. Manages the setup of all earnings and deduction codes and the taxability of the codes in SAP Payroll.

  • Assist in making timely tax payments, files online reports as well as prepares quarterly and annual payroll tax returns. Uploads W-2 to the taxing authorities. Addresses tax notifications, as required.

  • Ensures timely and accurate payroll reporting. Works closely with Corporate Accounting and Treasury on all internal financial reporting requirements and cash management requirements. Validate all tax liabilities and payments in the 3rd party remittance. Reconciles the various payroll and payroll tax liability account balances on a monthly basis.

  • Works closely with Human Resources and HEI taxes on any new Compensation plans (including the bargaining union contract, management and executive compensation plans) and on any new or changes to existing employee Benefit programs. Ensures that any special payroll tax requirements are addressed, and all procedures are properly documented. Keep abreast of Federal and State Payroll Tax law changes and ensures that all Hawaiian Electric Companies and HEI are compliant.

  • Participates in Company emergency response activities as assigned, including any activities required to prepare for such emergency response.

    BASIC QUALIFICATIONS:

    Knowledge Requirements

  • Thorough knowledge/understanding of the Federal and State withholding tax laws, workers’ compensation laws, temporary disability insurance laws, Federal and State unemployment laws.

  • Thorough knowledge/understanding of the principles of accounting including general ledger and cost accounting, normally acquired through advanced college level accounting courses or equivalent experience.

  • Thorough knowledge of policies and procedures contained in such documents as Company/Union Agreement, General Information Manual, etc.

  • Working knowledge of personal computers and/or mainframe systems and related software applications (i.e. spreadsheets, word processing, database management, etc.).

    Experience Requirements

  • Several years (3-5) of accounting experience with a minimum of 2 years relating to payroll or cost accounting.

  • Few years (2-3) of supervisory experience in accounting or related field are highly desired.
