Description

We are offering an opportunity for an Executive Assistant role in the Healthcare industry, located in HONOLULU, Hawaii. As an Executive Assistant, you will mainly be tasked with performing administrative and secretarial duties, primarily coordinating and maintaining office supplies, and assisting in event planning. Preference will be given to applicants currently residing in Hawaii due to the nature of the job requirements. If interested in this role, please call us at 808-531-0800.

Responsibilities:

• Undertaking administrative duties for the Executive Officers and, at times, for Department Managers.

• Assisting with responding to residents, visitors, and staff, and independently providing information and handling inquiries when possible.

• Calendar management

• Assisting with preparing and distributing memorandums and letters.

• Assisting with preparing and distributing documents for Board Meetings.

• Coordinating speakers for events and adhering to event budget.

• Utilizing skills in Microsoft Excel, Microsoft Office Suites, Microsoft Outlook.

• Managing order of office supplies and utilizing Microsoft SharePoint.

• Coordinating travel arrangements and event planning.

Requirements

• Minimum of 3 years of experience as an Executive Assistant, preferably within the Healthcare industry

• Proficiency in Microsoft Office Suites, including Microsoft Excel, Microsoft Outlook, and Microsoft SharePoint

• Demonstrated experience with Calendar Management and coordination of C-Suite schedules

• Ability to handle correspondence, prepare memoranda, and order office supplies

• Experience in making travel arrangements for executives

• Proven track record in event planning

• Excellent written and verbal communication skills

• Strong organizational skills with a keen attention to detail

• Ability to work independently and prioritize tasks in a fast-paced environment

• Discretion and confidentiality in dealing with sensitive information

• A proactive problem-solving approach and the ability to make decisions under pressure

• Ability to manage multiple projects simultaneously and meet deadlines

• Comfortable working in a team-oriented setting and collaborating with diverse groups of people

• Bachelor's degree in Business Administration or related field preferred.
