Job Description Summary

Provides quality administrative support to all departments at the Hobart Site.

Job Description

Compensation: $46,600.00 - 60,637.00

On-Time, Effective Delivery of Office Procedures that Ensures Work is Performed at the Right Level:

  • Performs a variety of tasks involving data processing ranging from entry, collection, organization, input, and presentation in a variety of formats, including but not limited to charts, graphs, scientific/analytical, spreadsheets and databases.

  • Performs a variety of administrative functions including but not limited to (e.g. bulk copying/scanning projects, submit requisitions and work orders, deliver material/information to other departments, proofreading and verification).

  • Performs work order entry into the Maximo system.

  • Submits purchase requisitions into the Maximo system.

  • Manages filing for Validation.

  • Coordinates travel and submits expense reports.

  • Provide administrative support to Department Managers.

  • Coordinates interviews for open positions.

  • Coordinates visitors.

  • Coordinates Approved Contract List (ACL).

  • Coordinates and provides support to Kaizen events and training.

  • Prepares presentations as needed.

  • Attends meetings to document and distribute minutes and action items.

  • Coordinates all Site Celebrations and community service activities.

  • Maintains Site Digital Communications.

  • Assists with Sample Shipping.

  • Coordinates scheduling of Site Escorts and monitors Escort email account.

  • Monitors Admin email account.

  • Supports site hiring/recruitment events

  • Coordinates visitors.

  • Supports new hire orientation

  • Captures meeting minutes and action items and distributes.

  • Other duties as assigned

Useful, Timely Meeting Minutes:

  • Organizes and attends meetings throughout the year. (For example: CAPA & MRB Meetings) Takes minutes, ensuring they follow the prescribed format, and distributes minutes for approval/follow up.

  • Maintains transcribed minutes and supporting documents as warranted.

Site Meetings & Events Supported:

  • Coordinates scheduling and organizing of complex activities such as large scale site events, meetings, conferences, conference rooms and guest accommodations, domestic and international travel.

  • Coordinates catering requests.

Minimum Requirements

Education:

Associates Degree or combination of relevant experience and education or training may be considered.

Experience:

2-5 years of related experience to perform the essential functions of the position within quality and quantity standards.

Preferred Skills/Qualifications:

Ability to solve complex and practical problems, deal with several variables with nonstandard situations requiring some decision-making, use of judgment and interpretation of instructions.

Advanced Computer Skills: Microsoft Excel, Word, PowerPoint

Physical/visual activities or demands that are commonly associated with the performance of the functions of this job:

  • Sedentary Work - exert a negligible amount of force continuously and up to 20 pounds of force occasionally to lift or move o objects. The job involves sitting, walking, and standing, reaching, Communicating, understanding and following instructions.

  • The job involves clarity of vision at 20 inches or less with the ability to bring objects into sharp focus. May need the ability to identify and distinguish colors.
