This position may be covered by a Voluntary Employee Beneficiary Association (VEBA) *JOB DUTIES: This position provides administrative support to the Unemployment Insurance (UI) Contributions (Tax) Bureau Chief and all three sections (teams) within the bureau. The position will require excellent communication and time management skills and the ability to juggle potentially competing priorities (i.e. multi-task). As the Contributions’ Administrative Assistant, your primary responsibilities will include (but are not limited to): * Utilizing phone, email, and digital resources to perform skip-tracing activities to locate current address and/or contact information for employers. * Support audit team with processing of completed tax audits ensuring accuracy and compliance with Tax Performance System (TPS) standards. Verify adjustments, update demographic changes and prepare monthly production reports. * Support the collections team with the sending and tracking of legal collection efforts (liens, garnishments, etc.), including communicating with county officials. * Support mail processing by assisting with distribution and batch preparation during high volume periods. * Provide customer assistance/support to employers and third-party administrators via phone and email. * Manage and coordinate purchasing of supplies, minor equipment, service requests and other items. * Prepare responses to requests for UI tax information/data and UI compliance letters for general and sub-contractors. KNOWLEDGE, SKILLS AND ABILITES: If you are the right person for this opportunity, you will have the following knowledge, skills or abilities: Knowledge of (or ability to learn in a reasonable amount of time): * General office management, business English, composition, grammar and administrative practices, * Personal computers and standard office equipment including photocopiers and printers, and Microsoft products such as Word, Excel, Outlook and TEAMS. * Knowledge of ADA document compliance and UI law and rule preferred but not required. Skill in: * Customer service and effective communication (written and verbal), * Troubleshooting office equipment malfunctions, and * Performing online research/skip-tracing. Ability to: * Organize, prioritize, manage work effectively, * Establish and maintain effective working relationships, and * Read and comprehend laws, rules, policies and procedures, and apply them to the duties of the position. MINIMUM QUALIFICATIONS Your preparation for this opportunity could include a combination of relevant experiences including: * High School Diploma or equivalent and one year of experience in administrative support, customer service or related field. OR * Any combination of equivalent experience and education to successfully perform the essential functions of the position will be considered. Preferred: * Prior skip-tracing experience preferred. Physical and Environmental Demands: * This position restocks paper and miscellaneous supplies. Ability to lift boxes of paper or similar items up to 25 pounds is required.
