POSITION: Part Time - (8 Hours/week, all Federal Holidays off) DEPARTMENT: Havre City CourtACCOUNTABLE TO: Havre City Court Judge and Court AdministratorSUMMARY OF WORK: This position is under the general supervision of the City Judge, performs reception and clerical duties of the operation of the Court pursuant to Judge’s and/or the Court Administrator’s instructions, Montana Statutes, and best practices guidelines set for Courts of Limited Jurisdiction.JOB CHARACTERISTICS: Nature of Work: This position performs clerical duties requiring adherence to standards of accuracy, detail, and timeliness. Position must maintain a high level of confidentiality of sensitive information. Position may have contact with the public.Personal Contacts: May have daily contact with the public, city and county offices, attorneys, bail bond agencies, and law enforcement agencies.Essential Functions: Position requires ability to: file either alphabetically or numerically court forms; answer the telephone; communicate orally; assist in the courtroom; manage files and records; operate office machines including a computer. This position must be physically able to walk and talk, use listening and speaking skills, reach and handle objects with hands and arms, perform manual dexterity including writing and typing, use visual eyesight including far and near, and lift and move records and files.AREAS OF JOB ACCOUNTABILITY AND PERFORMANCE:•Perform assigned duties.•File documents in case files correctly.•Retrieve and organize case files for weekly court hearings. •Assist Court Clerk/Administrator with Court Procedures•Answer multi-user phone systems•Maintain Confidentiality of sensitive informationJOB REQUIREMENTS:Knowledge: This position requires knowledge of or the ability to learn court requirements and procedures, legal terms and phraseology, legal forms and documents, computer forms, records management, and manage every court case in accordance with constitutional rights of every citizen of the United States and the State of Montana.Skills: This position requires skill in accurate records keeping, follow verbal and written instructions, establish effective working relationships with fellow employees, supervisors and the public, operation of office equipment including a computer, digital scanner and associated software programs; preparation of reports, and organization with attention to detail.Abilities: This position requires the ability to: learn and understand, maintain confidentiality of personal data while understanding the right of public review of court records; work under high pressure situations with the ability to respond with courtesy and professionalism. Concentration under conditions which have frequent distractions and interruptions; handle public interface in stressful situations while balancing service to the public and the needs of the Court; observe established authority while establishing and maintaining effective and appropriate working relationships with attorneys and agencies interacting with the Court; perform duties independent of direct supervision and work collaboratively and effectively with a supervisor. EDUCATION AND EXPERIENCE:The above knowledge, skills, and abilities are typically acquired through a combination of education and experience equivalent to:•Minimum of 16 years of age and attending school •Preferred A High School diploma or GED Equivalent.
