Job Summary:

Manages office to include coordinating and arranging counseling appointments; supervising and coordinating clerical workers; and monitoring and maintaining budget transactions for departmental accounts, purchasing and leasing agreements under supervision of the Director or designee.

Primary Job Duties and Responsibilities:

  • Answers telephone, greets visitors, and directs calls/individuals to appropriate person; makes photocopies as requested; and opens and routes mail.

  • Supervises and coordinates schedules/appointments of professional staff and graduate assistants, coordinates meetings, and makes travel arrangements.

  • Initiates, at the direction of the Director or designee, purchasing and leasing of equipment and materials for the Center and maintains inventory control of equipment and other materials which have been purchased.

  • Monitors and maintains budget transactions for departmental account to include the purchasing and upkeep of office supplies and posting and balancing account with monthly detail budget reports from Controller’s Office.

  • Functions as office courier to perform activities such as picking up mail, delivering documents to offices on campus, and picking up supplies.

  • Supervise student workers. Supervisory responsibilities include training, planning, assigning, and directing work as well as appraising performance under the direction of the Director and/or Assistant Director.

  • Performs other duties as assigned.

    Minimum Qualifications:

    Associate’s degree from an accredited college or university and six months related experience and/or training in office management, clerical duties or college campus supports; or equivalent combination of education and experience.

Preferred Qualifications:

Bachelor’s degree with prior experience and/or training in office management, clerical duties or college campus supports.

Knowledge, Skills, and Abilities (KSA):

  • Adept in Microsoft Office and Microsoft technologies.

  • Ability to demonstrate sensitivity, respect, and be discreet when dealing with confidential matters.

  • Knowledge of entry-level accounting and budgetary practices, and procedures with the ability to create spreadsheets and track expenses.

  • Skill in completing assignments accurately and with attention to detail.

  • Must have excellent communication skills and the ability to be compassionate and empathetic while working with a diverse population.

  • Knowledge of, or the ability to learn, University policies and procedures.

  • Excellent organization and time management skills.

  • Ability to speak effectively before groups of customers or employees of organization.

  • Ability to seek appropriate assistance for mental health emergencies.

  • Ability to take and give direction appropriately.

  • Ability to work collaboratively as a member of a team.
