Hagerstown Community College Operations/Enrollment Assistant - HCC Training Center in Hagerstown, Maryland

SUMMARY STATEMENT The HCC Operations and Enrollment Assistant is responsible for processing both Workforce Solutions and Continuing Education registrations, providing customer service to students, staff and the general public. Operations and Enrollment Assistant also assists the WSCE Operations Manager and helps with other administrative duties related to registration, course rosters, evaluations and other duties associated with delivering classes at this site.

 

Note: This position will relocate from the Valley Mall Center to the new Bowman Training Center on Northern Avenue in early 2025.

This is a part-time position for 24 hours per week.  Work schedule will be Monday through Thursday:  12:30p.m. -- 7:00 p.m.

ORGANIZATIONAL RELATIONSHIPS A.    The Operations and Enrollment Assistant reports directly to the WSCE Operations Manager, and is responsible to the onsite program manager and Dean of Workforce Solutions and Continuing Education.

B.    The Operations and Enrollment Assistant coordinates most closely with other Valley Mall Enrollment Specialists, campus Registration staff, Continuing Education staff and program managers.

 

ESSENTIAL DUTIES 1.    Accepts noncredit student registrations by entering data into registration system and accept payment.

  1.    Acts as receptionist for office, answer telephone, assist with callers and process phone in and walk-in registrations

  2.    Provides excellent customer service via phone or in person to students, staff and instructors.

  3.    Provides information to students and instructors regarding class location, procedures, textbooks, material lists and other questions.

  4.    Performs light manual labor in order to keep the facility operational and orderly

  5.    Addresses customer complaints and develop resolutions

  6.    Manages Continuing Education registration form imaging

  7.    Reconciles daily transactions and prepare deposit

Requirements

EDUCATION AND EXPERIENCE Associate Degree required. Work experience to include customer service; database experience a plus.

 

SKILLS AND ABILITIES Must demonstrate customer service, problem solving, communication skills, computer and organizational skills; ability to maintain a high level of flexibility; ability to react quickly to a changing environment while maintaining high level of customer service; ability to work independently with clear accountability.  

 

WORKING ENVIRONMENT Call Center environment with numerous interruptions. Must be able to lift 40 lbs.; expected to assist with classroom set up including moving table and chairs.
