The Mgr, JTCC Clinical Partner Ops plans and organizes the daily function and oversight of JTCC clinical partner staff members in both our practice offices and medical and radiation oncology departments. This role ensures appropriate patient flow between departments by serving as a visible and present leader for the team of medical assistants and schedulers. This role also involves oversight of medical record activities including, but not limited to, scanning, quality assurance, indexing, conducting audits, and directing performance improvement. This role will also be responsible for the department of Patient Intake.

Responsibilities

  • Provides visible and supportive leadership and guidance to staff working within our physician offices ('sleeves') as it pertains to greeting, rooming, telecom, and appropriate scheduling of patients.

  • Provides a comprehensive and standard orientation of MAs, schedulers, medical records, and intake support staff, including, but not limited to all aspects of telephone contact and etiquette, proper message retrieval, OnBase and ICD-10 coding, etc.

  • Partners with all departments in the building to foster a collaborative and multidisciplinary approach to maintaining appropriate scheduling.

  • Oversees the intake process for Medical Records including, but not limited to: - Entry into EMR of new patient demographics - Insurance coverage verification - Scheduling of tests where applicable - Collecting medical records - Scheduling consultation visits, and ensuring that all new consults are seen within 5 days of reaching out to our center - Follow-up with physicians to assess for any outstanding needs prior to scheduled visits

  • Ensures adequate coverage for all roles in all departments, and maintains a dynamic coverage plan in the case of absences, vacations, etc.

  • Manages employees' time through payroll management in the HRIS system of record.

  • Ensures work flows are followed as per established policies.

  • Hires and terminates staff as needed, and provides ongoing and annual performance reviews.

  • Prepares for state inspections, insurance company research audits on all medical record documentation to ensure all records are current, complete, and meeting designated standards.

  • Communicates with staff through group meetings on a monthly basis, and individual meetings as needed or requested.

  • Follows-up on patient and staff concerns, including investigation of reports in incident reporting system of record. Provides service recovery as needed.

  • Other duties and/or projects as assigned.

  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

  • Associate's degree.

  • 7 or more years of leadership experience in a related field.

  • 5 or more years of experience supervising medical personnel.

  • 5 or more years of oncology experience.

  • Excellent verbal and written communication skills

  • Proficient computer skills that include but are not limited to Microsoft Office and/or Google Suite platforms.

  • Ability to coach supervisors on performance management, including evaluating individual performance and, when necessary, implement corrective action plans with monitored results.

  • Excellent organizational, presentation, documentation and interpersonal skills.

  • Ability to work independently, or in a team, and handle multiple deadline driven tasks in a dynamic environment is essential.

  • Education, Knowledge, Skills and Abilities Preferred:

  • Bachelor's degree.

  • EPIC/EMR experience.

Licenses and Certifications Required:

  • BLS Certification through the American Heart Association.
