Position Description: Hackensack Area Chamber Coordinator Overview: The Hackensack Chamber of Commerce is an active and growing community of member businesses and non-profit organizations from the Hackensack area. The Chamber Coordinator spearheads the Chamber's effort to serve as a resource for businesses and organizations of all types and sizes. The ideal candidate strives to meet and exceed the goals and objectives of the Chamber while motivated by personal growth and expression. As a Coordinator, you will ensure the smooth and efficient operation of the Chamber's administrative functions by handling a wide range of responsibilities dictated and governed by the Board of Directors. Administration Assemble monthly agendas and reports for and attend Chamber Board meetings. Include a Coordinator s Report each month to keep the Board apprised of topics including, but not limited to new member approvals, member non-renewals, volunteer and/or staff updates, project and/or budget requests, communication requiring Board involvement and discussion. Communicate with all visitors with a high degree of professionalism and enthusiasm. The coordinator serves as the principal spokesperson and ambassador for the Chamber for tourists, newcomers, community members, business owners, and Chamber events. Maintain records of all official meetings and Chamber functions, and perform other duties as assigned by the Chamber Board. Retain impeccable recordkeeping practices and keep Board communications saved in all correct and pertinent areas (electronic and physical). Track, manage, and adhere to budgets set forth by the Budgeting Committee. Display professional competence with electronic tasks including but not limited to Windows OS, Microsoft Office Suite, Facebook and basic website maintenance, and general computer fluency. Demonstrate cash management proficiency and be responsible for daily retail reconciliations. Assist the Marketing committee with suggestions and requests for merchandise. Keep accurate inventory counts and displays fresh. Notify committee chair about stock concerns as needed. Team Management Staffing and daily operation of the Hackensack Information Center including opening and closing the Information Center and training volunteers. Volunteers will be under the coordinator s umbrella of responsibility, and the coordinator will give monthly updates at Board meetings and inform the Board timely as needed regarding Volunteer/Staff management. Display the aptitude to foster teamwork and collaboration among Board members, committee members, volunteers, Chamber members, community leaders, local businesses, and residents. Develop and implement operational plans, policies, and procedures for maintaining and improving current operations. Apply logic when developing SOPs such that any Board member or volunteer can step in and assist or cover daily duties without needing training. Member Services Send yearly Dues invoices, collect and record payments, and secure them for the Treasurer. Add, remove, and update Chamber member's profiles to the website, in-house rosters, and any other pertinent locations as needed. Assist the Marketing committee with marketing, advertising, and social media presence as requested by the committee chair. Assist the Marketing committee with the development of the Annual Visitor's Guide; this includes but is not limited to the calendar of events, updating all member listings, and placement of member's advertising. Tourism and Events Ensure compliance with Explore MN Tourism, gambling board, city permits and licensing, etc. Attend and assist with Annual Chamber events: Back to Hack in January, Sweetheart Days in July, and other events throughout the year as requested by event committee chairs. This can and will include some evenings and weekends. Communicate and meet with committee and/or committee chairs to discuss opportunities to assist with volunteer recruitment and retention for Chamber events. Maintain a l st of past volunteer contact information. Work with the Marketing committee chair to ensure pertinent event information is published and continually updated on the Chamber's website, calendar, and social platforms. Maintain consistent theme, language, and voice across all marketing mediums. Work with the Marketing committee chair to issue press releases to the media for all Chamber events and other attractions sponsored by the Chamber.
