Responsibilities Administrative Support Support and assist Design Solutions management team with requests, planning, organizing, and coordinating business priorities Manage and oversee employee onboarding process including technology requests (hardware, software, etc), system set-up, and introductory training or process review Organize and lead weekly team practice meetings to help facilitate communication of company activities Coordinate activities for special projects, as directed by VP and Managing Director Be the source of solution for team member questions and navigation of internal systems and support teams Create and maintain distribution lists and required office communication Greet and provide general support and hospitality including catering options for visitors Handle sensitive information in a confidential manner Finance Support Help qualify, greet, and onboard contractors/vendors following company governance and contracting policies Responsible for data entry and tracking of all purchasing activities (PO requisitions, ordering, and reporting) Track, organize, audit, and review vendor and freelance invoices Support project management team members by tracking and sending client-related invoices Office Management Maintain a clean office environment and coordinate cleaning vendors Order office supplies and maintain inventory levels of office consumables Arrange regular building maintenance and repairs as needed Receive, sort and distribute mail and packages Recognize where processes can be improved and take the initiative for improvement Required Qualifications Bachelor's degree or relevant experience required Must have minimum of 3-5 years in office management or administrative support role Previous experience in accounting or bookkeeping preferred Proficiency in Microsoft office applications (Word, Excel, PowerPoint and Outlook) Must have the ability to manage tight deadlines as required and exude professional grace under pressure Strong organization and project management skills Excellent verbal and written skills Must have exceptional standards for quality, high accuracy, and a strong attention to detail - and the ability to track details and monitor changes Must be able to work autonomously, as well as within a team Office hours: 8:30am to 5:30pm, on-site 3-4 days per week JLL Is an Equal Opportunity Employer JLL is committed to developing and maintaining a diverse workforce.
