Job Requirements:

A proposal coordinator supports the development and submission of proposals to secure new business opportunities. This role typically includes coordinating proposal activities, ensuring that all contributions from cross-functional teams are collected and integrated into a cohesive document. The proposal coordinator is responsible for maintaining schedules, tracking deadlines, and ensuring that each section of the proposal meets quality and compliance standards as outlined in the request for proposal (RFP). They lead editing, formatting, and publishing proposal content, and managing document revisions, and may also be involved in organizing strategy meetings. The proposal coordinator acts as a liaison between the proposal team, management, and ancillary functions, providing clear communication and updates throughout the proposal process. Attention to detail and strong organizational abilities are key to successfully managing the complexities of proposal preparation and submission.

The primary job responsibilities of a proposal coordinator include supporting the proposal development process to ensure timely and effective submissions in response to customer solicitations. Key duties typically involve:

  • Proposal Planning: Assisting in the creation and maintenance of proposal schedules, outlining tasks and deadlines to ensure timely completion of the proposal.

  • Document Management: Organizing, maintaining, and tracking all proposal documentation, including drafts, revisions, and final versions.

  • Team Coordination: Facilitating communication among proposal team members, setting up meetings, and ensuring that contributors are aware of their responsibilities and deadlines.

  • Content Assistance: Helping with the writing, editing, and formatting of proposal content to ensure clarity, coherence, and compliance with RFP requirements.

  • Compliance Checking: Reviewing proposal drafts to verify that they meet all solicitation instructions and criteria, as well as company standards.

  • Submission Preparation: Coordinating the assembly of the final proposal package, ensuring that all necessary components are included and properly presented.

  • Administrative Support: Providing general administrative assistance to the proposal team, such as document reproduction, shipping, and filing.

    Minimum Qualifications:

  • Bachelor’s degree, with preference for study in journalism, English, Business, Communication, or Marketing and a minimum of 2 years of prior related experience. Graduate Degree or equivalent with 0 to 2 years of prior related experience. In lieu of a degree, minimum of 6 years of prior related experience.

  • Ability to obtain a security clearance

    Preferred Skills (beyond required):

  • Writing, editing and desktop publishing experience

  • Expert MS Office skills

  • Proposal experience

  • APMP or Shipley certification

  • Defense and/or aerospace industry experience
