ASRC Federal Holding Company Project Support Specialist - NASA Goddard in Greenbelt, Maryland

ASRC Federal AFSS is a premier provider of systems engineering, software engineering, system integration and project management services for real-time, mission-critical defense systems. We are seeking a Project Support Specialist to support a NASA contract in Greenbelt, MD.

Responsibilities:

  • Provide pro-active general business and project support to a fast-paced science lab with over 25 civil servants and multiple senior-level managers.

  • Extensive Outlook calendar management and coordination.

  • Process and track complex travel arrangements (domestic and international), travel plans, authorizations, vouchers, and expense reports in compliance with NASA travel and related IT requirements.

  • Process NASA Scientific and Technical Information (STI) submissions and coordinate Scientific, Technical and Research Information discoVEry System (STRIVES) audit activities for lab.

  • Coordinate lab responses to division, directorate, Center and Agency data calls with short turnarounds quickly and accurately.

  • Provide on-boarding support and welcome packets for new civil servant hires, off-boarding support for lab staff, and badging for visiting foreign nationals.

  • Plan, arrange and execute logistics for workshops, meetings, and special events.

  • Prepare and edit documents, correspondence, meeting materials, and presentation charts.

  • Support key meetings for executive-level staff: prepare schedules, agendas, charts; coordinate audio-visual requirements; compile minutes/action items and track to completion.

  • Support continuity of operations and coordinate senior-level meeting coverage in absence of lab chief or deputy.

  • Process IT and telephone requests and act as a liaison between lab personnel and helpdesk staff to usher tickets to quick resolution.

  • Participate in regular meetings with division project support specialists to ensure business processes (especially those related to travel) are consistent across the division and aligned with Center-level directives and directorate guidelines; communicate changes and recommend improvements.

  • Maintain and update electronic files and records, including correspondence logs, action item registries, distribution lists, organizational charts and call trees.

  • Other special projects/duties as assigned.

Requirements :

  • On-site office presence at least 3 days per week.

  • NASA-GSFC administrative and organizational experience, especially in travel arranging, is highly desired.

  • Proficient in Microsoft Word, PowerPoint, Excel, and Outlook. Google Docs experience a plus.

  • Must have excellent verbal, written and interpersonal communication skills.

  • Strong sense of urgency, self-initiative and problem-solving skills.

  • Must demonstrate ability to manage time efficiently and meet strict deadlines.

  • Demonstrate high degree of accuracy, organization, consistent attention to detail and high level of productivity.

  • Strong capability to learn new software tools and systems quickly and independently.

  • Ability to work independently as well as in a team environment; ability to interact well with all levels of professionals as a team player.

  • Exceptional customer service skills, both over the phone, electronically and in person; proactive and quick to respond to customer requests.

  • Ability to follow specific directions, document procedures, and ask questions as needed.

  • Possess leadership qualities, a strong sense of ethics, discretion and professional sophistication.

  • Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. Extensive background investigation will be performed as a requirement of the job.

Education and Experience:

Bachelor’s degree and 5 or more years of experience or 7 or more years of experience in lieu of degree.
