University of Maine System Assistant Director of Facilities in Gorham, Maine

The University of Southern Maine is seeking to fill the position of Assistant Director of Facilities Management for Operations. This position is an opportunity to join our Facilities team and be part of the day-to-day operations of the University.

The Assistant Director (https://drive.google.com/file/d/12i6mDm6iZr4Vn1lAIj8t0zH9Rp5brCba/view?usp=sharing) reports to the Associate Executive Director of Facilities Management for Operations and Administration and is responsible for the supervision of daily operational services provided by the building trades on both the Gorham and Portland campuses. Through continuous monitoring of conditions, maintains the buildings and mechanical systems in a safe and efficient mode of operation.

Essential Functions Include but not limited to:

  • Directly manages the work activities of direct reports within their assigned shops.

  • Responsible for ensuring timely completion of building maintenance work orders, backlog reports and identification and recommendation of work for inclusion in deferred maintenance.

  • Works closely with the Facilities Service Manager to assign and prioritize all work orders submitted and ensure that time and materials are accurately tracked and associated with correct work orders.

  • Reviews work assignments, maintenance schedules, and preventative maintenance programs to ensure that work is appropriately assigned amongst different trade staff. Inspects and evaluates quality of work and adheres to standards.

  • Prepares cost estimates for maintenance projects with cost comparisons for alternative plans, including in-house versus out-source services. Prepare specifications for maintenance, repair, renovation and construction projects, obtains proposals and quotations from contractors and recommends/requisitions a contractor for actual contractual work. Oversees work to assure conformance to specifications.

  • Utilizing an enterprise software package develops and approves purchase requisitions and invoices for payment. Maintains constant surveillance of expenditures, develops unit costs and recommends apportionment schedules to distribute charges to auxiliary services and other departments as applicable.

  • Inspects and coordinates the construction phase of projects including projects done jointly with department trades persons and outside contractors.

The Facilities Management Department (https://usm.maine.edu/facilities-management/) at the University of Southern Maine is responsible for the maintenance, operation, and improvement of campus buildings and grounds. This includes managing custodial services, maintenance and repairs, landscaping, and ensuring that facilities meet safety and accessibility standards. The department also oversees energy management and sustainability initiatives, aiming to create a safe, efficient, and welcoming environment for students, faculty, and staff. Overall, their work supports the university's mission by maintaining and enhancing campus infrastructure.

Pay and Benefits: This position pays $75,000. Location and Schedule: This is a full-time position that works on both the Portland and Gorham campuses of the University of Southern Maine. Travel between the two campuses is required.

Required Qualifications:

  • Bachelor’s Degree in a related field or an equivalent level of experience.

  • Minimum of five (5) years of progressively more responsible experience in the field of plant operations and maintenance. Including at least three (3) years of supervisory experience.

  • Strong interpersonal, organizational, and planning skills.

  • Experience with an IWMS system.

  • General knowledge of all areas of building maintenance and operating systems such as elevators, fire alarms, HVAC, plumbing, electrical, carpentry, district heating systems, etc.

License/Certifications:

  • Valid Maine motor vehicle’s license
